Position Summary

The Standards & Compliance Clerk supports the organization’s compliance, quality, and regulatory processes by maintaining documentation, monitoring adherence to internal standards, and assisting with audits and reporting. This role ensures that policies, procedures, and operational practices meet company, industry, and regulatory requirements.

Key Responsibilities
  • Maintain and update compliance and standards documentation, including policies, procedures, SOPs, manuals, and forms.
  • Compare SOPs to job descriptions and best practices to ensure alignment.
  • Track compliance submissions, certifications, training completions, and reporting deadlines.
  • Maintain checklists and tracking tools to ensure consistency across departments.
  • Perform routine checks to verify adherence to internal policies and regulatory requirements.
  • Assist with monitoring incident documentation, corrective action plans and ensure follow-up on outstanding items.
  • Ensure that all onboarding packet updates adhere to current regulatory standards and organizational policies on annual basis or as changes are made to regulations.
  • Support investigations by gathering and organizing HR-related records.
  • Compile compliance data and prepare summaries, logs, and reports.
  • Maintain compliance databases and tracking systems with high accuracy.
  • Ensure proper secure storage of all confidential documents, including all personnel information.
  • Participate in internal audits and external inspections by preparing materials.
  • Document audit findings and assist with tracking resolutions.

    Coordinate communication between departments regarding policy changes and compliance deadlines.
  • Assist in scheduling compliance training sessions and tracking attendance.
  • Identify gaps, inefficiencies, or inconsistencies in compliance processes.
  • Participate in initiatives to enhance internal controls and documentation practices.
  • Perform other administrative or compliance-related duties as assigned.
Qualifications Required
  • High school diploma or GED.
  • 3+ years administrative, Human Resources and regulatory compliance-related experience.
  • Proficiency with Microsoft Office.
  • Experience in compliance, QA, HR, legal, or highly regulated industries.
  • Experience with laptop computers, equipment and various applications as are typical in a business environment.
Preferred
  • Familiarity with California labor law, knowledge of Title 17 regulations and vendor compliance standards, audits or compliance reporting.
  • Experience with I9 Audits and corrective measures, EEO compliance, and file retention compliance.
  • Experience tracking compliance metrics and maintaining documentation logs.

  • Ability to travel occasionally between branch offices and record storage facility
