PRIMARY
PURPOSE:
Facilitate the efficient operation of the athletic department office and provide clerical services to the athletic director.
Education/Certification: High school diploma
Special Knowledge/
Skills:
- Proficient typing, keyboarding, and file maintenance skills
- Knowledge of basic bookkeeping principles
- Effective communication and interpersonal skills
- Ability to use personal computer and software to develop, spreadsheets, databases, and do word processing
Experience: Two years secretarial experience.
MAJOR RESPONSIBILITIES AND DUTIES- Prepare correspondence, forms, reports, manuals, and rosters for the Athletic Director and coaches using personal computer.
- Assist coaches to complete student eligibility forms.
- Receive incoming calls, take reliable messages and route to appropriate staff.
- Make cash deposits for the department.
- Assist in the arrangement of transportation for out-of-district athletic events.
- Compile, maintain, and report time records of game officials.
- Maintain sports schedules; distribute to schools.
- Prepare meal, hotel, bus requisitions and purchase orders for the department.
- Perform routine bookkeeping tasks for the department and maintain athletic accounts.
- Assist with arrangements for awards programs and coaching clinics.
- Become familiar with the UIL constitution and contest rules as they pertain to athletics.
- Manage Time Clock for hourly employees and students in athletic department.
- Submit Time Clock payroll reports along with blue time sheet form to business office for approval on all student workers.

Mental Demands: Reading; ability to perform basic arithmetic calculations, communicate effectively (verbal), and operate a personal computer. Must be self‑starter and able to complete work without direct supervision.
Physical Demands/Environmental Factors: Repetitive hand motions; prolonged use of computer.
