Position Overview

The Fleet Operations Manager is responsible for the oversight and management of the company’s vehicle fleet, including trucks, vans, seasonal rentals, and towing vehicles. This role ensures that all vehicles are properly maintained, legally compliant, accurately tracked, and efficiently utilized to support daily operations. Responsibilities include maintenance coordination, recordkeeping, vendor management, and internal resource planning. The position requires strong organizational and analytical skills, with a practical understanding of fleet logistics and operational efficiency.

Key Responsibilities
  • Lead end-to-end fleet lifecycle management for approximately 50 vehicles and trailers, including towing vehicles, covering acquisition, onboarding, registration, maintenance, and end-of-life disposition
  • Schedule and track all preventative and corrective maintenance to ensure operational readiness across the entire fleet
  • Maintain accurate records in RMS Cloud and Intelli Shift, including vehicle usage, assignments, service history, and inspections
  • Coordinate and oversee urgent repairs, roadside assistance, towing, and service logistics, with a focus on minimizing downtime and cost
  • Ensure registration, inspection, and insurance documentation are current and kept with each vehicle, including trailers and towing vehicles
  • Ensure compliance with vehicle sign-in/sign-out protocols for field and warehouse staff, including required daily pre-use and post-use vehicle inspections
  • Generate and present detailed reports on fleet status, utilization, operating costs, and maintenance trends
  • Partner with Logistics and Purchasing to forecast seasonal needs and integrate approximately 20 rental units into the fleet system
  • Supervise in-house maintenance personnel and manage daily service priorities for all fleet assets, including towing vehicles
  • Work with Purchasing to ensure the availability of parts and materials needed for repairs
  • Conduct quarterly physical inventory of fleet assets, including vehicle attachments and towing equipment
  • Continuously evaluate vendors and service providers to ensure the best pricing and service quality
  • Ensure towing vehicles are used safely, legally, and according to company policy for moving trailers, equipment, or disabled vehicles
Required Qualifications Education
  • High School Diploma or equivalent required
Experience
  • Minimum of 7-10 years of experience in fleet management or vehicle operations, including familiarity with towing logistics or similar vehicle types
  • Strong working knowledge of New York State DOT regulations and compliance requirements related to fleet operations
Skills
  • Strong organizational and communication skills
  • Knowledge of towing vehicle use, safety protocols, and maintenance requirements
  • Proficiency with fleet management software (e.g., RMS Cloud, Intelli Shift)
  • Ability to assess vehicle conditions and prioritize repair needs
  • Solid decision-making and vendor negotiation skills
Physical Requirements
  • Ability to stand, walk, and move around fleet yards and maintenance facilities
  • Lift or carry up to 40 lbs. during inspections or fleet-related tasks
  • Comfortable working indoors and outdoors in various weather conditions
  • Ability to bend, kneel, or climb to inspect vehicles, including trailers and towing hitches
Travel Requirements
  • Frequent local travel to company sites, vendor facilities, and vehicle service locations
  • Occasional travel to pick up or deliver vehicles, including rental or towing units
  • Valid driver’s license with a clean driving record is required
  • DOT medical card or eligibility to obtain one may be required for driving certain towing vehicles
