The Business Office Assistant in a healthcare or nursing facility plays a critical role in supporting the financial and administrative operations to ensure smooth and efficient business processes. This position is responsible for assisting in managing billing, collections, and reimbursement activities, particularly focusing on Medicare and Medicaid compliance. The role requires close collaboration with clinical and administrative teams to optimize revenue cycle management and enhance customer service experiences for residents and their families.
The Assistant Business Office Manager also contributes to staff supervision, training, and process improvements to maintain high standards of accuracy and regulatory adherence. Ultimately, this position ensures the financial health of the facility while supporting its mission to provide quality care to long‑term skilled nursing residents.
- Experience working in a long‑term skilled nursing facility or similar healthcare environment.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Knowledge of Medicare and Medicaid billing processes and regulations.
- Strong customer service skills with the ability to communicate effectively with diverse stakeholders.
- High school diploma or equivalent; associate degree or higher in healthcare administration or related field preferred.
- Previous experience in a business office management or assistant management role within healthcare.
- Familiarity with electronic health record (EHR) and billing software systems.
- Certification in medical billing or healthcare administration.
- Demonstrated leadership skills and experience supervising staff.
- Advanced education such as a bachelor’s degree in healthcare administration, business, or finance.
- Assist in overseeing daily business office operations including billing, accounts receivable, and collections.
- Ensure accurate and timely submission of Medicare and Medicaid claims in compliance with federal and state regulations.
- Collaborate with clinical staff to verify patient eligibility and resolve billing discrepancies.
- Provide excellent customer service by addressing inquiries from residents, families, and insurance providers.
- Support the Business Office Manager in staff training, performance evaluations, and workflow optimization.
- Maintain detailed financial records and prepare reports to assist with budgeting and financial planning.
- Implement and monitor policies and procedures to ensure compliance with healthcare regulations and facility standards.
The required skills are utilized daily to manage complex billing cycles and ensure compliance with Medicare and Medicaid regulations, which are critical for the facility’s revenue. Proficiency in Microsoft Office Suite enables efficient data management, reporting, and communication across departments. Customer service skills are essential for resolving billing inquiries and maintaining positive relationships with residents, families, and insurance representatives. Preferred skills such as familiarity with EHR systems and leadership capabilities enhance the ability to streamline office operations and support team development.
