Clinical Office Coordinator-General Surgery

The Clinical Office Coordinator performs a wide variety of responsibilities and support to the physician, reporting to the Practice Manager and General Surgeons.

Job Functions

  • Greet patients upon arrival, maintain orderliness of reception area and Front desk ensuring patient confidentiality.
  • Answer phones and retrieve and distribute messages appropriately.
  • Process patients quickly and accurately through the computer-based scheduling system for future appointments, surgeries, and/or testing as appropriate for patient care.
  • Order necessary office and medical supplies and ensure security of all medications.
  • Capture and enter high-quality patient demographic and financial information via telephone interviews and hard copy (mail-in, facsimile, etc.).
  • Identify insurance coverage and payer requirements for hospital services, process insurance verification, and other basic benefits information for patients, as necessary.
  • Communicate with physicians’ offices and staff in a timely and professional manner.
  • Maintain and support patient’s rights to care, privacy, and respect.
  • Schedule and coordinate surgical procedures with the hospital and the patient.
  • Enter daily and surgical billing charges to Athena.
  • Other duties as assigned from time to time.

Minimum Qualifications

  • Education:

    High School Diploma or equivalent required.
  • Experience:

    One to three years Administrative Assistant/Medical Office preferred.
  • Licensure and/or Certification:
    Graduate of a Medical Assistant/Secretary program preferred.
  • Skills:

    Advanced proficiency with Microsoft Office applications and moderate keyboarding is required.
  • Knowledge of GE Centricity to access and utilize electronic medical records preferred.
  • Knowledge of Athena-based scheduling/billing software helpful.
  • Strong customer service skills.
  • Excellent organizational skills, detail-oriented with strong ability to multi-task required.
  • Familiarity with medical terminology preferred.
  • Ability to read, write, and communicate in English.
  • Knowledge of patient billing, account processes, third-party billing, and revenue cycle preferred.
  • Ability to maintain confidential information required.
