The Executive Assistant to the President provides high-level administrative and operational support to the President/CEO and members of the Executive Leadership Team. This role serves as a trusted partner in managing executive priorities, facilitating communication, coordinating complex schedules and meetings, preparing executive and Board materials, and assisting with Shareholder records.
The Executive Assistant plays a critical role in supporting executive effectiveness by anticipating needs, maintaining strict confidentiality, and ensuring the smooth coordination of executive activities across the organization. This position requires exceptional judgment, professionalism, and the ability to operate in a fast-paced environment while managing competing priorities.
PRIMARY JOB FUNCTIONSEssential Duties and Responsibilities (including but not limited to):
- Serves as a key liaison and representative on behalf of the President/CEO in communications with executives, departments, shareholders, business partners, vendors, and other stakeholders; demonstrates professionalism, diplomacy, and sound judgment in all interactions.
- Manages the President’s and Executive Team’s calendars and scheduling priorities; coordinates meetings, briefings, and events while proactively identifying scheduling conflicts and optimizing time management.
- Prepares, reviews, and organizes executive correspondence, reports, presentations, and briefing materials; ensures materials are accurate, well-organized, and aligned with Executive expectations.
- Provides administrative support for executive leadership and Board-related activities including preparing agendas, assembling meeting materials, note taking, drafting memoranda, and maintaining governance records with a high degree of confidentiality and organization.
- Coordinates Executive travel arrangements including itineraries, transportation, lodging, and meeting logistics; prepares supporting materials and processes expense reports in accordance with Company policies.
- Coordinates Executive meetings and events, including internal leadership meetings, Board of Director meetings, and special events; manages logistics such as meeting space, catering, materials preparation/distribution, and vendor coordination.
- Supports the Chief Administrative Officer with corporate activities including document management (physical and digital), record retention, Shareholder stock registry, and Shareholder communications; maintains organized physical and electronic files and workflows.
- Tracks executive priorities, action items, and follow-ups; assists with cross-department coordination and special projects to ensure timely execution of initiatives; identifies opportunities to improve administrative processes, communication workflows, and executive office operations.
- Develops and maintains proficient knowledge of the Company’s Strategic Plans, The Commerce Way, and relevant policies and standard operating procedures.
- Performs other work‑related duties as assigned.

QUALIFICATIONSWork Experience:
- Minimum 5 years of experience supporting senior executives in a corporate environment, preferably at the C-suite or President/CEO level.
- Experience coordinating Board of Directors or Executive team meetings, including agendas and materials, strongly preferred.
- Experience managing scheduling, executive communications, and cross-functional coordination.
