The Development Coordinator plays a vital role in advancing the mission and growth of the YMCA by supporting a dynamic and expanding fundraising program. As the YMCA continues to deepen its community impact and strengthen philanthropic partnerships, this position ensures the operational excellence that fuels our success.

This role provides comprehensive administrative coordination, maintains the integrity and accuracy of our donor database, oversees timely and precise gift entry, and supports exceptional stewardship execution. The Development Coordinator serves as a key connector between donors, frontline fundraisers, and leadership—helping ensure every gift is processed with care, every record is accurate, and every donor feels valued and appreciated. This role helps create a seamless and professional donor experience that drives sustainable growth and long-term impact for the YMCA and the communities we serve.

Responsibilities
  • Thinks, communicates, and behaves as a cause-driven team member—promoting youth development, healthy living, and social responsibility in all job-related functions.
  • In partnership with the Development Team, maintains the association’s donor database, including data entry, updates, and routine cleanup to ensure accuracy and integrity.
  • Processes and acknowledges all gifts in a timely, accurate, and donor-centered manner, in partnership with the Development Team and Finance Department.
  • Provides administrative and scheduling support for the Advancement Team, including meeting preparation and follow-up.
  • Supports donor stewardship efforts by preparing letters, memos, and materials for donor visits, tours, and recognition activities.
  • Generates donor lists, reports, and queries to support fundraising campaigns, appeals, and events.
  • Assists with pledge tracking, reconciliations, and documentation of donor communications.
  • Assists with engagement initiatives to strengthen relationships with supporters and program participants.
  • Collaborates with colleagues across departments to ensure consistent, high-quality donor data and communication processes.
  • Demonstrates a commitment to diversity, equity, inclusion, and anti-racism through respectful collaboration and engagement with all communities.
  • Ability to work effectively with diverse groups and viewpoints from all social and economic segments of the organization and community.
  • Adheres to policies related to boundaries with youth. Participates in required abuse risk management training. Reports suspicious and inappropriate behaviors. Follows mandated abuse reporting requirements. Adheres to job-specific abuse risk management responsibilities.
Qualifications
  • Bachelor’s degree or equivalent combination of education and experience.
  • 1–3 years of experience in fundraising, database management, or administrative support (nonprofit experience preferred).
  • Strong attention to detail and accuracy in data entry and financial reconciliation.
  • Excellent organizational skills and ability to manage multiple tasks and deadlines.
  • Strong written and verbal communication skills; professional and donor-centered approach.
  • Proficiency in Microsoft Office Suite (especially Excel and Word); experience with Raiser’s Edge NXT or similar CRM database preferred.
  • Commitment to providing excellent customer service to donors, staff, partners, vendors and volunteers.
  • Passionate belief in the Y’s cause of nurturing the potential of all youth, supporting healthy living for all people and finding ways to help and support our neighbors. Ability to relate to diverse groups of people from all social and economic segments.
  • Ability to embrace change and excel in a fast-paced, goal-oriented environment.
  • Valid Ohio driver’s license and willingness to use own vehicle to travel within the community.
  • Some flexibility in schedule including nights and/or weekends to support deliverables.
