REPORTS TO:
CEO JOB SUMMARY
Responsible for assisting CEO / COO with financial management oversight along with the management of the accounting, budget, human resources. This includes financial reporting; accounts payable; inventory; taxes; fixed assets and payroll.
Financial Management- Develop, direct and manage goals, policies, priorities and practices relating to all aspects of financial management.
- Ensure sound fiscal compliance with federal, state and local laws and record retention requirements.
- Establish accounting policies, procedures and internal controls consistent with GAAP in all accounting areas including general ledger; accounts payable, accounts receivable, order processing, inventory and fixed assets.
- Manage relationships and outcomes with external suppliers which support the Association’s financial management functions including external audits, investment advisors; and banking institutions in collaboration with the Executive Director.
- Monitor cash levels, investments and grant funding (if applicable); follow investment policy and provide required reports for Audit and Finance Committee.
- Responsible for the Quarter end closing process which includes account analysis, bank reconciliations, general ledger entries, deferred revenue calculations and other allocations and reconciliations.
- Prepare and distribute the quarterly financial statement package which includes Balance Sheet;
Statement of Revenue which includes budget and prior year comparisons on an organizational, departmental, project and functional basis; key data, and trend info - Report and analyze various financial data as needed.
- Provide all required financial reports to external organizations
- Serve as liaison with the external auditors; manage the audit process including preparation of the audit schedules, issue resolution, review of the audit draft and ensuring successful and timely completion of the annual audit/review.
- Responsible for all grant reporting if applicable.
- Serve as liaison with tax accountants; gather and report financial information to tax accountants for the 990 and 990T tax returns and review final returns.
- Prepare Foundation financial reports and detail donation schedules.
- Responsible for the timely processing of invoices and verifying accuracy and approvals. Maintain all credit card receipts and track to invoice.
- Select invoices for payment and process checks weekly, mail and file all paperwork.
- Responsible for determining independent contractor status and issuance of annual 1099’s.
- Manage the accounting and record keeping function of all fixed asset transactions including additions and disposals.
- Responsible for creation of annual budget (in conjunction with CEO / COO)
- Develop, direct and manage the goals, policies, priorities and practices relating to all aspects of human resources management in collaboration with CEO
- Process bi-weekly payroll /submit bi-weekly employee pension payments. Responsible for disclosure compliance and completing all requests
- Serve as a collaborative member of the Association’s senior leadership team.
- Cooperate and collaborate willingly with others throughout the Association and adjust to achieve organizational goals.
- Demonstrate initiative and reliability; take on tasks; follow through, and readily assist others in meeting targets and goals.
- Demonstrate professionalism through appearance and actions which enhance the association's image, including written and verbal communications.
- Seek and maintain knowledge and awareness of current issues, needs and trends in the accounting field.
- Stay current on all activities within the Association to properly review monthly finances.
- Perform other duties as assigned by the Executive Director.
- Work on-site at the annual conference or other events as needed.
- Bachelor’s Degree in Accounting, with 5 to 7 years in a senior role managing an accounting and finance department with a small staff.
