Job Duties
- Works under general supervision & requires considerable knowledge of clerical functions and office procedures in order to provide general secretarial assistance by performing routine administrative tasks
- Assists in the Fleet Management program
- Provides information and reports to manager regarding vehicle maintenance, repairs, & fleet reservation system issues
- Enters vehicle reservation requests and operating information into the fleet management information system (Fleet Ohio) according to policy and procedures
- Reconciles fuel receipts for OSC vehicles and compiles monthly reports
- Ensures motor pool vehicles are maintained and in clean, safe operating condition
- Coordinates the scheduling of maintenance and inspection of vehicles (e.g., service intervals, cleaning, fueling, safety inspections, tire pressure and battery life, and oil changes)
- Coordinates the transportation of vehicles to service centers for extensive recalls/maintenance requirements
- Provides clerical assistance by operating a computer to update and maintain databases, utilizes scanners, fax machines and copier
- Compiles data, prepares reports, sorts and routes all incoming and outgoing mail, answers main phone line for DRC (e.g., answers and screens calls, provides explanation orally and/or in writing, researches responses to inquiries to resolve constituent/customer concerns and/or routes calls to appropriate personnel)
- Performs clerical duties (e.g., maintain files, make copies, prepare materials for mailing)
- Assists in training coworkers
1 year of training or 1 year of experience in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 months of training or 6 months of experience in relevant technical terminology. Or equivalent of the Minimum Class Qualifications For Employment noted above.
