Responsibilities
  • Work under general supervision and provide general secretarial assistance by performing routine administrative tasks.
  • Assist in the Fleet Management program.
  • Provide information and reports to the manager regarding vehicle maintenance, repairs, and the fleet reservation system.
  • Enter vehicle reservation requests and operating information into the Fleet Ohio system according to policy and procedures.
  • Reconcile fuel receipts for OSC vehicles and compile monthly reports.
  • Ensure motor pool vehicles are maintained and in a clean, safe operating condition.
  • Coordinate the scheduling of maintenance and inspection of vehicles (e.g., service intervals, cleaning, fueling, safety inspections, tire pressure, battery life, and oil changes).
  • Coordinate transportation of vehicles to service centers for extensive recalls/maintenance requirements.
  • Provide clerical assistance by operating a computer to update and maintain databases; utilize scanners, fax machines, and copier.
  • Compile data, prepare reports, sort and route all incoming and outgoing mail; answer the main phone line for DRC (e.g., answer and screen calls, provide oral or written explanations, research responses to inquiries to resolve constituent/customer concerns, and route calls to appropriate personnel).
  • Perform clerical duties such as maintaining files, making copies, and preparing materials for mailing.
  • Assist in training coworkers.
Qualifications
  • 1 year of training or experience in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 months of training or experience in relevant technical terminology, or equivalent of Minimum Class Qualifications for Employment noted above.
