Overview
The onsite Executive Assistant will manage calendars, handle confidential information with discretion, schedule complex travel arrangements, plan and coordinate meetings, and perform special projects as assigned. The role requires understanding the business and the demands of different parties to be a key partner in providing proactive administrative support.
This position is located onsite 5 days per week at the Safelite headquarters in Columbus, OH.
What You Will Do- Filters, organizes and prioritizes a large volume of communications for the executive such as written correspondence, virtual meetings and phone calls.
- Drafts and creates general correspondences, PowerPoint presentations, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Drafts written responses or replies by phone or e‑mail when necessary. Responds to regularly occurring requests for information.
- Acts as a liaison with other departments and outside organizations, including senior leaders such as CEOs, presidents, and vice presidents to proactively coordinate calendars and anticipate future needs based on changes in the business. Handles confidential and non‑routine information using good judgment and explains company policies and procedures when required.
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for the senior leadership team member and as requested by other members of the departmental leadership team, including managing travel planning for domestic and international travel, booking air travel, hotel, ground transportation, and other travel coordination for multiple travelers.
- Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating communications and events.
- Maintains strong understanding of the business to anticipate needs of the executive and continuously identify conflicts, mitigate problems and improve efficiency.
- Performs other duties as assigned.
- Complies with all policies and standards.
- Ability to work onsite 5 days per week in Columbus, OH.
- Bachelor's Degree or equivalent experience.
- 4–6 years executive administration experience required.
- Experience supporting a legal function preferred.
- Exemplary written and interpersonal skills. Must exercise excellent judgment and diplomacy in all interactions with internal and external leaders.
- Superior organizational and prioritization skills; strong follow‑through on tasks and works well under pressure.
- Strong analytical and problem‑solving skills with the ability to foresee potential problems and contingency plan accordingly.
- Experience with complex calendar management, meeting and event planning, domestic and international travel, and preparation of presentations.
- Takes a proactive approach to the job with a passion for making other’s jobs easier through proactively anticipating needs.
- Advance use of Microsoft Office Tools such as Microsoft Outlook, Word, Excel and PowerPoint.
- Extremely resourceful, efficient, and collaborative with a demonstrated ability to work in a complex matrix organization.
