Job Description:
The Project + Studio Coordinator supports the smooth day-to-day operation of the studio by managing documentation, scheduling, and administrative coordination across active projects. This is a client-facing, execution-focused role that requires strong written communication, organization, discretion, and follow-through. This is not a design role.
- Attend client meetings and internal team charrettes
- Take and distribute meeting notes with action items within 24 hours
- Draft post-meeting client follow-ups for review
- Track action items and follow up on deadlines
- Maintain digital and physical project binders and shared drives
- Manage document versioning and file organization
- Coordinate scheduling for meetings, site visits, and milestones
- Prepare meeting, site, and install packets as needed
- Support studio operations (supplies, printing, shipping/receiving)
- Manage vendor samples and maintain the sample library
- Support studio systems, templates, and trackers
- 1–3 years in an administrative, coordination, or operations role
- Experience in a design-related studio or creative environment is a plus
- Strong written communication and attention to detail
- Highly organized; able to manage multiple priorities
- Comfortable with calendars, shared drives, and documentation systems
- Professional, reliable, and confident in client-facing communication
This is a contract position with competitive pay, with the potential to grow into a full-time role as the studio grows. A formal 90-day review will assess alignment, effectiveness, and capacity.
