Job Title:

Administration Coordinator

Department:
Medicine | Psychiatry, Center for Neurolmaging, Neuro Phenotyping, Neuro Computation, and Neuromodulation (C4N) within the College of Psychiatry and Behavioral Health.

Responsibilities
  • Coordinate and monitor daily administrative activities & services in the new research Center for Neurolmaging, Neuro Phenotyping, Neuro Computation, and Neuromodulation (C4N).
  • Provide comprehensive administrative support to the Associate Director of Operations of C4N.
  • Oversee daily business functions in C4N, implementing, evaluating and modifying administrative policies & procedures.
  • Assist with identifying and resolving operational concerns to meet research center goals, guidelines, & deadlines.
  • Review, screen and triage correspondence, inquiries and concerns; independently respond to routine correspondence; convey directives from leadership.
  • Coordinate appointment calendars of C4N and the Associate Director of Operations.
  • Organize logistics for meetings, tours, and trainings; prepare and distribute agendas; record, transcribe and distribute meeting minutes.
  • Serve as first point of contact for the C4N center, greeting patients and assisting staff.
  • Review the C4N booking schedule via the Calpendo Management Software; assist director with study invoicing review, incident reports, and room usage.
  • Research, collect and compile information as requested to develop complex center reports; handle reimbursement of expenses and purchase of supplies and equipment.
  • Manage coordination and bookings of the C4N speaker series; handle travel requests, expense reports, and recording sessions.
Minimum Education And Skills/Experience Required/Desired
  • High School diploma or GED. Certification or vocational training may be preferred.
  • 1 year of relevant experience required; 2-4 years of relevant experience preferred.
  • Six months experience (600 hours) in customer service or communications, including researching, analyzing & interpreting information.
  • Three months experience (300 hours) in budgeting.
  • Six months experience (600 hours) in operation of spreadsheet, publication, and/or presentation software and related computer equipment.
  • Three months experience in interviewing.
  • Requires successful completion of a background check. Selected candidate may be requested to complete a pre-employment physical including a drug screen.
