Responsibilities
- Receive court actions for processing; enter all data elements into the computerized court management system; assign judges and case numbers; identify each type of court action based on substance and statutory procedural requirements.
- Determine if venue and jurisdictional requirements have been met; track cases to ensure successful processing; accept or reject each action based on completion and submission of all legal requirements and mandatory documents.
- Process criminal sentences and fine payments; strike jurors for domestic, criminal, and civil cases; process paperwork for appeals, adoptions, and attorneys’ paperwork.
- Attend arraignments, guilty pleas, docket calls, trials, jury selection, and probation revocations; record required information for official records; enter information into the official court record; generate notices, bonds, and other documents as needed.
- Assist the public at the counter; answer telephone; research and respond to written and verbal inquiries about court policies, procedures, case status, fines and costs due, and scheduling of court proceedings; resolve complaints; retrieve and interpret case history information; assist judges and attorneys as needed.
- Receive, record, verify, monitor, and submit fines, fees, costs, and other monies received by the court; disburse restitution payments; enter payment information into the system and post to the proper case file.
- Receive, docket, and file warrants, transcripts, accusations, indictments, motions, orders, adoptions, notices, and appearances.
- Receive paperwork for passports and forward documents to Passport Services.
- Send DUI and surrender of parental rights notices to the local newspaper.
- Prepare and process sentences, bond forfeitures, sentence reviews, appeals, adoptions, orders, bench warrants, and revocations.
- Check fines for probation officers.
- Complete prisoner histories; receive fines; pick up and secure cash bonds; secure warrants.
- Research criminal case information for various agencies; answer prisoner questions and mail; respond to phone inquiries and assist the general public.
- Maintain all court documents and ensure filing processes are consistent.
- Verify all Superior Court documents from the previous day; make corrections where needed.
- Prepare and draft various reports as requested or required.
- Assist and respond to prisoners in filing habeas corpus actions; bill inmates when filing civil cases; maintain records of payments and correspondence.
- Pull cases and deliver to judges; pull records, make certified copies, and fax documents.
- Process notary public applications.
- May assist the Chief Deputy with the operation of the financial division of the Superior, State & Juvenile Court Clerk’s office to receive, verify, account for, and balance fines, fees, and funds; prepare reports and disbursements for funds; maintain office accounting records; balance and review financial reports; coordinate daily verification and audit of all funds received by the office; prepare daily and weekly deposits;
enter and monitor debit and credit entries in ledgers; and assist in monitoring account activity and evaluating statutory and regulatory changes. - Perform any other related duties as assigned.
- Knowledge of relevant state laws and guidelines governing the Office of the Clerk of Superior Court.
- Knowledge of modern office procedures.
- Knowledge of the operations and functions of local and state court systems.
- Knowledge of legal terminology and required record-keeping procedures and deadlines.
- Knowledge of bookkeeping and accounting practices.
- Skill in operating standard office equipment such as a typewriter, calculator, copier, microfiche machine, and facsimile machine.
- Skill in the use of computers, standard business software applications, and specialized software applications used by the courts.
- Skill in basic mathematics.
- Skill in dealing with the public.
- Skill in oral and written communication.
