Administrator & Assistant to the Executive Pastor (XP) - Role Summary
The Administrator & Assistant to the Executive Pastor is a key support leader who partners closely with the Executive Pastor to steward the administrative, operational, and organizational life of the church. This role brings clarity, structure, and follow-through so ministry teams can remain focused on people and mission. The position provides direct support to the Executive Pastor while also overseeing church administration and offering operational support across key ministry areas.
ReportingRelationship
- Reports directly to the Executive Pastor
- Collaborates closely with the Lead Pastor, ministry leaders, staff, and key volunteers
- Provide direct administrative support to the Executive Pastor, including scheduling, correspondence, and follow-up
- Assist with preparation for meetings, leadership gatherings, and planning sessions
- Track action items and ensure follow-through on initiatives and projects
- Serve as a central communication link between the Executive Pastor, staff, volunteers, and external partners
- Support the daily administrative and operational functions of the church
- Coordinate office systems related to scheduling, documentation, and internal communication
- Maintain clear workflows, procedures, and administrative processes
- Manage office logistics including supplies, vendors, and general administrative needs
- Provide centralized administrative, communication, and systems support that enables ministry leaders to focus on people rather than processes.
- Office Management – Coordinate calendars, workflows, and internal systems to support smooth daily operations
- Groups Ministry – Support group leaders through communication, systems management, and organizational alignment
- Guest Experience – Support volunteer systems, scheduling rhythms, and communication tools that shape first impressions
- Facilities – Coordinate scheduling, work orders, documentation, and vendor relationships
- Kids Ministry – Assist with planning, scheduling, and systems that promote readiness and consistency
- Spiritual Formation – Provide logistical and systems support for discipleship pathways and growth initiatives
- Assimilation – Coordinate systems and communication that help guests take meaningful next steps into community
- Assist with onboarding staff and key volunteers
- Support staff scheduling, communication, and coordination
- Serve as a reliable, professional resource to staff and volunteers
- Strong organizational and administrative skills with attention to detail
- Experience in executive assistance, church administration, office management, or operations preferred
- Ability to manage multiple priorities with flexibility and composure
- Strong written and verbal communication skills
- Proficiency with church management systems and standard office tools
- High levels of trustworthiness, emotional intelligence, and relational awareness
- A growing relationship with Jesus and alignment with the mission, vision, and values of the church
- A heart for serving the local church with humility and excellence
- Ability to work independently and collaboratively
