Job Summary

The Executive Assistant to the Chancellor provides advanced administrative, strategic, and operational support to the Chancellor of Palmetto College. This position ensures the Chancellor's office operates efficiently, professionally, and confidentially while promoting the college's mission, priorities, and relationships. The Executive Assistant acts as a key liaison to internal and external stakeholders, manages complex workflows, and anticipates needs in a fast-paced, ever-changing higher education environment.

Manage the Chancellor's daily schedule, long-term calendar, and meeting priorities with sound judgment and a clear understanding of the college's goals. Coordinate high-level meetings, retreats, and events involving senior leadership and external stakeholders. Arrange travel, itineraries, and logistics for university events, conferences, and donor engagements. (30%)

Prepare briefings, background materials, presentations, and correspondence for the Chancellor. Ensure the Chancellor is fully prepared for meetings, speeches, and strategic initiatives. Draft, edit, and manage sensitive communications on behalf of the Chancellor. (25%)

Oversee the operations of the Office of the Chancellor, including workflow, communications, and administrative processes. Track and manage special projects, initiatives, and deadlines, ensuring timely progress and alignment with the college's priorities. Maintain organized systems for records, documents, and confidential information. (20%)

Serve as a primary point of contact for faculty, staff, students, trustees, community leaders, and external partners. Exercise diplomacy, professionalism, and discretion in all interactions. (10%)

Anticipate needs and proactively identify opportunities to streamline operations and enhance the Chancellor's effectiveness. Collaborate with senior administrators to support institutional planning, policy development, and cross-campus initiatives. (10%)

Performs other duties as may be assigned. (5%)

Qualifications

Bachelor's degree in a related field and three years or more of experience.
