TMS Technician​/Administrator

At Gladstone Psychiatry and Wellness, we are committed to providing exceptional mental health care through innovative approaches. We specialize in working with adults and adolescents, offering both traditional psychiatric care and cutting-edge therapy. We are dedicated to supporting our patients' mental health journey, using compassionate, evidence-based treatments. This is an in-person position, Monday-Friday. This is a full-time position with 40 hours per week required.

• Maintain daily operations of the TMS program, ensuring adherence to clinical protocols and safety guidelines.
• Conduct phone screenings for prospective TMS patients and document appropriately.
• Coordinate scheduling and patient flow; communicate with patients regarding appointments, insurance, and billing.
• Complete all prior authorizations with commercial insurers.
• Track insurance reimbursements and collect copays
• Administrative tasks including but not limited to answering phone calls, calling patients, and scheduling appointments. Knowledge of working in Excel is must.
• Attend regularly scheduled team meetings.
• Coordinate care with referring provider within and outside Gladstone.
• Other duties as assigned by supervisor.

• Complete initial educational sessions with patients about TMS and the equipment used in the treatments.
• Administer TMS treatments using the Mag Stim system (training and certification provided by Gladstone).
• Monitor patients during treatment sessions for clinical symptoms and ensure safety and comfort.
• Perform proper equipment positioning and ensure accurate delivery of treatment.
• Document all treatment sessions and patient interactions in the EMR system.
• Provide medical interventions in an emergency. MUST have active, unexpired BLS certification (provided by Gladstone).
• Follow established treatment and office procedures.
• Communicate effectively with all staff, in particular the Medical Director and all clinical team members involved.
• Other duties as assigned by supervisor.

The TMS Technician will be expected to go through intensive hands-on training and obtain the certification. In addition to the experiential training, the TMS Technician will be expected to read research articles, both through other medically recognized sites, to increase their expertise with this treatment procedure, Major Depressive Disorder, OCD, and other psychiatric disorders.

• Experience in a mental health or healthcare setting; TMS or neurostimulation experience is a plus.
• Strong communication, organizational, and multitasking skills.
• Compassionate, personable, and professional demeanor—being kind is a must.
• Comfortable working with electronic medical records, Microsoft Office (Excel in particular), and Mac products.
• Demonstrated ability to work independently and take initiative.
• CPR/BLS certified or willing to obtain upon hire.
• High ethical standards and commitment to patient confidentiality.
