Position: Enrollment and Administrative Coordinator (Part-Time with Full-Time Potential)

We are seeking a highly organized, proactive, and people-centered Enrollment & Administrative Coordinator to support the daily operations and enrollment growth of our dance studio. This role plays a critical part in creating a positive, professional experience for families, dancers, and staff while supporting the studio’s operational and enrollment goals.

The ideal candidate is detail-oriented, professional, and confident balancing front-facing customer service with behind-the-scenes administrative work.

This is a part-time position (22-28 hours per week), with potential to evolve into more hours or full-time with remote and in-person hours Monday through Friday, and weekend hours occurring about 1-2x per month during studio events.

    On-site 4:00-6:30pm Monday–Friday, additional hours communicated in advance may be required based on studio needs

Enrollment & Administrative Coordinator

Position Overview

Key Responsibilities Enrollment & Family Experience
  • Manage student enrollment, registrations, waitlists, class changes, and withdrawals
  • Serve as a primary point of contact for prospective and current families (email, phone, in-person)
  • Support tours, open houses, and enrollment-related events
  • Ensure accurate student placement, age-level compliance, and enrollment records
  • Assist with enrollment growth, retention initiatives, and family engagement
Administrative & Office Operations
  • Oversee and lead daily administrative operations of the studio, including assigning and managing tasks of our greater admin team
  • Manage studio software systems (enrollment, billing, scheduling, attendance)
  • Support billing processes, tuition inquiries, and account troubleshooting
  • Maintain organized records, documentation, and internal systems
  • Coordinate calendars, schedules, and studio communications
  • Ensure consistent implementation of studio policies and procedures
Staff & Studio Support
  • Support instructors and directors with scheduling, coverage, and logistics
  • Assist with recital, performance, and event coordination
  • Provide administrative support during peak studio hours
  • Maintain a welcoming, professional studio environment
Communication & Organization
  • Draft and distribute professional communications to families and staff
  • Collaborate with leadership on studio updates, announcements, and workflow improvements
  • Ensure timely follow-up and strong attention to detail across all responsibilities
