Job SummaryTo assist lodging operations with administrative duties, lost and found inquiries, group blocks, group billing, ordering and supplies.

Columbia Falls Xanterra Administration Office, with travel into the park - Schedule:
Typical schedule is 40 hours, 5 days per week (may include weekends, evenings, and holidays) - Housing:

- Coordinate all tour groups to ensure maximization of revenue and customer satisfaction.
- Communicate with tour leaders, group specialists from our corporate office, and front desks to ensure group set-up and billing is accurate.
- Comply with all company policies and National Park Service regulations with group allotments.
- Must be able to communicate effectively both orally and in writing with all guests and co-workers. Handle guest concerns professionally and tactfully. Be knowledgeable of the National Park and all its facilities and activities so that information passed on to the guests is informative and accurate.
- Makes and files all group contracts.
- Receive and post group payments in Opera.
- Ensure all groups are paid in full to the amount they owe per contract.
- Manage government rate booking requests.
- Manage meeting room space for Many Glacier Hotel, Lake McDonald Lodge, and possibly Cedar Creek Lodge using Delphi.
- Assist front desks and accounting in research of account billing and ledgers.
- Manage lost and found item inquiries.
- Assist lodging operations by managing warehouse PAR levels of lodging supplies on hand.
- Assist with managing the Lodging and Learning package.
- Other duties as assigned.
Knowledge, Skills, and Abilities
- Must possess ability to communicate effectively with guests and all other co-workers.
- Must be friendly, outgoing, enthusiastic and courteous in dealing with guests and co-workers.
- Must possess strong organizational abilities.
- Must use tact and discretion due to exposure to confidential matters.
- Must be able to handle guest concerns in a professional and tactful manner.
- Must be team oriented and possess neat and pleasant grooming habits.
- Must be able to work varied shifts: days, weekends and holidays.
- Will include travel throughout Glacier National Park; must be at least 19 years of age and have a clean driving record.
Experience
- Group sales, front desk supervision or reservation supervision experience preferred.
- Experience and knowledge of hospitality reservations and/or front desk programs such as Opera and Delphi.
- Excellent verbal and written business communication skills, plus excellent analytical/problem solving skills.
Education
- High school degree.
Physical Requirements
- Must be able to sit, stand, stretch, bend for up to 10 hours.
- Must be able to lift boxes of materials of 30-70 lbs.
- Ability to drive a company vehicle and travel distances to park locations when needed.
