Mountain Valley Transit (MVT) is seeking a professional Transit Coordinator with a passion for route scheduling and meeting customer service needs of the communities we serve. The successful candidate will have a key role in the coordination of our transit services through collaboration and engagement with the public, our operations manager and our driver workforce. The incumbent will also be involved in process improvement initiatives and supporting the expansion of the organization.
GENERALPURPOSE OF JOB
Under minimum supervision, the Transit Coordinator is the primary liaison with our customers responsible for timely and effective scheduling of rides. Incumbent is also responsible for customer service and administrative activities including but not limited to preparing trip plans and documentation, phone/email communication, educating callers on our routes and services, and maintaining accurate data and records related to our transit services in the community.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Responsible for preparing and distributing driver schedules in a timely and efficient manner.
- Responsible for effective customer service by receiving and responding to inbound communications via telephone or email.
- Performing triage and redirection of inbound communications intended for another member of the Mountain Valley Transit team.
- Manage inbound requests by reviewing availability of routes, vehicles, and drivers and scheduling in a timely and efficient manner.
- Maintain system records of customers, schedule trip sheets, driver logs, passenger status / violations, and other relevant records related to the execution of the duties of this position.
- Responsible for gathering and tracking data relevant to Medicaid passenger service utilization and compliance.
- Provide guidance and service education to inbound callers and email inquiries.
- Collect trip sheets daily and update system records for accurate tracking and reporting of services.
- Collaborate with drivers to provide on-call services as appropriate.
- Collaborate with the Operations Manager to coordinate drivers, vehicles, and resources to effectively deliver services of Mountain Valley transit.
- Perform the and responsibilities of the designated Drug and Alcohol Program Manager (DAPM) for Mountain Valley Transit in coordination with the Designated Employer Representative (Operations Manager) to effectively comply with regulatory, funding, and grant policies and obligations.
- Attend, participate in and contribute to periodic and ad-hoc organization meetings.
- Provide requested reports and information to the Executive Director or Board of Directors members.
- Carries out duties in compliance with all federal and state regulations and guidelines.
- Successfully completes regulatory and job training requirements.
- Complies with all company and site policies and procedures.
- Remains current in profession and industry trends.
- Makes a positive contribution as demonstrated by: making suggestions for improvement and learning new skills, procedures and processes.

EDUCATION and/or EXPERIENCE
- High School Diploma or GED.
- Three (3) years of customer service experience in the transit or service industry.
- Two (2) years of professional scheduling and calendar management experience.
- Two (2) years of data entry and management experience.
- Two (2) years of professional experience managing policies or programs.
- Must successfully complete and maintain all CDOT and Medicaid requirements including but not limited to background check, drug testing, and fitness for duty.
- Read and interpret documents such as safety rules, drug and alcohol testing policies, and standard operating procedure manuals.
- Demonstrated experience effectively triaging inbound inquiries and communications.
- Demonstrated experience coordinating scheduling for multiple services for the public in a business to consumer organization.
- Familiar with the necessary documentation and compliance in a non-profit organization.
- Familiar with the transit industry and the necessary level of customer service and engagement to be successful in a transit coordinator role.
- In depth understanding of data entry and data management techniques and practices.
- Computer skills:
Work and be proficient with Microsoft Suite including Word, Excel, and Outlook. Work and be proficient with Google Workspace and Gmail. Work and be proficient with Customer Relationship Management systems. - Ability to perform repetitive tasks while maintaining speed of work and attention to detail without loss to production.
