Definition

The Special Ed Compliance Coordinator assists the Special Education Providers and the Special Education Director in providing the best possible special education services. The Special Ed Compliance Coordinator is the initial contact person for Providers when they need assistance with the Special Education Process.

Supervision Received and Exercised

Receives direct supervision from the special education director.

Primary Duties
  • Validate and accurately maintain special education databases with current student information by working closely with Providers, District Staff and BOCES staff.
  • Support Special Education Providers and new CDE Special Education Forms.
  • Field special education process questions as necessary and notify Special Education Providers of upcoming annual and triennial IEP meetings.
  • Process special education forms and review submitted forms for completeness of required documentation; archive the paperwork in the Special Education data systems.
  • Communicate to Special Education Providers on compliance and quality of completeness.
  • Request translation of special education forms if requested by provider or parent.
  • Print copies and mail to parents and other stakeholders as needed.
  • Start Progress Reports and notify Special Education Provider that special education forms have been archived and that a Progress Report has been started.
  • Update systems with student information demographics, conference tabs and class rosters.
  • Prepare reports as requested for District or Special Education Providers.
  • Provide information as requested for October 1 Count.
  • Provide and maintain accurate information in special education and district for all reports.
  • Provide and maintain accurate information in systems for December 1 Count.
  • Provide and maintain accurate information for School Nurses as necessary.
  • Assist School Secretaries in obtaining Special Education Records.
  • Enter student information into special education systems for students who are out of district and the district is paying for services, who attend private schools, who are enrolled in residential facilities, or CSDB.
  • Enter referred or transferred student information into special education system quickly for Special Education Providers.
  • Perform a wide variety of complex, responsible and confidential duties for the special education director.
  • Report to work on time and accurately record time worked.
  • Additional responsibilities include child find administration.
Qualifications

Knowledge of:

  • English usage, spelling, grammar and punctuation
  • Modern office procedures and methods
  • Extensive knowledge of Microsoft Office programs, Google docs and calendaring
  • Principles and procedures or record keeping and retention
  • Principles of business and letter writing and basic report preparation
  • Basic mathematical principles
  • General principles related to special education and IEPs
  • Student confidentiality
Ability To
  • Work efficiently with a service oriented attitude under stressful situations with constant interruption.
  • Ability to learn and implement IEP guidelines.
  • Perform responsible and complex clerical work.
  • Effectively manage time and multiple responsibilities.
  • Interpret and apply District policies and procedures.
  • Independently prepare correspondence and memoranda.
  • Initiate projects to improve department operations.
  • Be detail oriented.
  • Implement and maintain standard filing system.
  • Work independently in the absence of supervision.
  • Maintain confidential records and reports.
  • Operate and use modern office equipment including a computer and various software packages.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.
Experience & Training Guidelines

Experience:

Three years of complex administrative support.

Training:
Equivalent to the completion of the twelfth grade supplemented by specialized clerical training.

Working Conditions

While performing the duties of this job, the employee regularly works inside. The noise level is usually moderate with many interruptions. Office environment; exposure to computer screens and use of a keyboard.

Physical Conditions

While performing the duties of this job, the employee is frequently required to sit, walk and stand. Occasional lifting of 25 pounds or less.

Special Education secretaries are scheduled to work 185 days and are non‑exempt staff. The Director may require secretaries to work additional days prior to the beginning and end of the school year.

Salary Range

From $23.04 - $29.05 per hour commensurate with experience.
