Under the supervision of the CCECC Director, the Project Manager supports the implementation of activities established by the Chaffee County Early Childhood Council such as improving local systems that support young children’s social, emotional, and mental health as well as areas related to young children’s school readiness. The primary duties of the project manager include running CCECC’s scholarship program, event planning, and marketing for all CCECC-sponsored events and programs, and operating as CCECC’s Quality Improvement Navigator.
The Project Manager also assumes other administrative duties to assist the Council Director in implementing and executing the strategic plan such as fiscal management, ordering, data collection, and creating meeting minutes for all CCECC meetings and work groups as well as other duties as assigned.
- Conduct outreach to licensed programs notifying them of the CCECC scholarship program 1-2 months before the start of each semester (fall, spring, and summer).
- Follow academic calendars for Colorado Mountain College and Front Range Community College closely to keep up with changes and important dates for CCECC Scholars.
- Send CCECC Scholarship Applications to interested early childhood professionals and send completed applications to CCECC Board Chair for approval.
- Collect letters of agreement and any other necessary paperwork needed from CCECC Scholars and notify them of important deadlines for registering for and/or dropping classes.
- Make tuition payments to colleges for CCECC Scholars each semester.
- Track Scholars and classes taken each semester to keep CCECC data current.
- Manage logistics for CCECC-sponsored training and events including identifying and engaging venues to meet CCECC needs and budget, and place pre-approved orders for food and supplies.
- Create flyers and other marketing materials to conduct necessary outreach to inform providers and the public of CCECC events and programs using email, social media, local newspapers, and Chambers of Commerce.
- Provide staff support at events including set up, sign-in/registration, clean up, printing materials, food pick up, and creation and distribution of training certificates.
- Make travel and lodging arrangements for out-of-county training and out-of-county trainers coming to Chaffee.
- Send out surveys to all participants helping CCECC collect necessary data for grant reports and improving future events.
- Provide technical assistance to early care and education providers regarding program quality.
- Provide technical assistance to sites entering and working with Colorado Shines QRIS and EC Connect systems.
- Perform readiness assessments for all programs applying for Quality Improvement funding.
- Review Quality Improvement Plans with providers to establish a timeline to submit applications for levels 3-5.
- Coordinate coaching, assessment, and consultation services for programs engaged in the level 3-5 rating process.
- Provide technical assistance to sites making Quality Improvement purchases and Emerging and Expanding Grant purchases and help prioritize usage of funds based on provider sites’ Quality Improvement Plan (QIP) and/or the purpose of the grant funds.
- Collect, maintain, and report data from training, assessment, and coaching activities for local record keeping and statewide requirements including quarterly reporting.
- Recruit early childhood providers to participate in Quality Improvement activities.
- Participate in planning meetings to implement work plans from Quality Improvement grants.
- Partner with other early childhood evaluation professionals and coaches, and act as a liaison with the Colorado Department of Early Childhood QRIS specialist.
- Partner with licensing specialist regarding provider engagement and Colorado Shines where appropriate to coordinate Quality Improvement activities.
