Summary

Set at the gateway to Rocky Mountain National Park, Trailhead Lodge and The Outpost offer an inspiring backdrop of towering peaks, endless outdoor adventure, and the vibrant character of Estes Park. As the on-property Sales Coordinator, you’ll be the face of group sales and events for these two unique properties—serving guests from around the world who come for the scenery, wildlife, and signature Colorado experiences.

This solo position works directly with the General Manager and collaborates with our off-site sales and marketing teams to deliver exceptional service and unforgettable events in one of Colorado’s most iconic destinations.

Key Responsibilities
  • Act as the main on-site contact for all event, catering, and group booking inquiries at both Trailhead Lodge and The Outpost.
  • Collaborate with remote sales and marketing teams to execute group contracts and Banquet Event Orders, ensuring every detail meets client expectations.
  • Manage group room blocks, deposits, cutoffs, and cancellations, providing a smooth planning process for guests seeking the perfect mountain retreat.
  • Conduct tours that showcase not just the facilities, but the beautiful setting—highlighting views of the Rockies, abundant wildlife, and easy access to hiking, fishing, and outdoor activities.
  • Assist clients in planning menus and event logistics, and coordinate any outside services they may need to make their Estes Park event truly special.
  • Oversee the seamless execution of all on-property events, making sure every detail—from décor to dining—reflects the natural beauty and spirit of the area.
  • Cultivate strong relationships with clients, guests, and local vendors, delivering authentic Colorado hospitality and encouraging repeat business.
  • Address client concerns with professionalism and warmth, ensuring every guest leaves with great memories of both the event and Estes Park.
  • Maintain a polished, professional appearance as you represent two of the area’s premier properties.
  • Work independently onsite, with support from the off-site sales and marketing team.
