Job DescriptionThe Secondary School Administrative Assistant provides high-quality administrative and clerical support to ensure the smooth and efficient day-to-day operation of the secondary school. This position is often the first point of contact for students, parents, staff, and visitors and plays an important role in supporting a safe, organized, and welcoming learning environment. The role requires professionalism, discretion, strong organizational skills, and a commitment to supporting students as they grow into independent, engaged members of their school and community.
This position is a 10‑month position with 180 working days; MSD follows a four‑day school week with bi‑monthly professional days on Fridays.
- Provides general administrative and clerical support to senior leaders and teaching staff, including maintaining accurate student records and attendance data, preparing correspondence, reports, forms, and meeting documentation, and managing electronic and paper filing systems in line with data protection requirements.
- Maintain the student records database and student files, including recording daily attendance, registering new students, requesting transcripts, processing withdrawals, completing accurate student counts for October 1 state reporting, retrieving information for required reports and class lists, and maintaining attendance daily in line with the school’s attendance policy. Provide weekly attendance reports to the Dean of Students and Principal.
- Monitor and manage building access by overseeing visitor sign‑in procedures, verifying visitor identification, ensuring required background checks are completed, and confirming all visitors display appropriate passes. Maintain student sign‑in/sign‑out procedures in accordance with district policies. Support building security during crisis situations, including evacuations, lockdowns, and other emergency or safety procedures, and may initiate such procedures or act on behalf of the building principal as needed.
- Provide information and services to students, parents, guardians, staff, and community as requested; interface with stakeholders to address concerns, problem‑solve, disseminate information, and support public relations.
- Coordinate school events, maintain the school calendar, and publish a bi‑weekly newsletter.
- Perform building‑level personnel support functions, including maintaining accurate records of teacher and paraprofessional absences and assisting with on‑site substitute teacher support. Serve as a point of contact for substitute staff by providing building‑specific information, schedules, and procedures in accordance with district guidelines.
- Support the management of school supplies and resources.
- Assist with the collection of student fees.
- Perform other duties as assigned.
- High School Diploma or equivalent
- High School or Trade School degree preferred
- Citizenship, residency, or work visa required
- Ability to manage multiple tasks/priorities with frequent interruptions.
- Detail‑oriented with strong organizational habits.
- Effective communication with a diverse range of individuals.
- Strong communication and interpersonal skills.
- Customer service and public relations skills.
- Critical thinking and problem‑solving skills.
- Ability to maintain confidentiality in all aspects of the job; maintain confidentiality of student information and records in compliance with FERPA.
- Valid driver’s license.
- Employment contingent upon successful completion of a criminal background check and fingerprinting (at employee’s expense).
- CPR and First Aid certifications required within 90 days of hire.
- Student Information Systems.
- Operational knowledge of computers and familiarity with Microsoft Office, Google Workspace, financial software, and email/calendar systems.
