Overview
We are seeking a professional and detail-oriented Medical Receptionist / Front Desk Associate to join our Women’s Health Boutique Clinic. The ideal candidate will provide:
- Exceptional patient service- an inviting presence as the first face greeting patients
- Efficient management of administrative tasks
- Supportive operation flow for a smooth clinic experience
- Compassionate approach to patient care - unexpected care + insight into patients by diligently working to know their transformations
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Management of electronic health record (EHR) systems
- Prior sales experience (position is base + bonus)
- Prior experience with patient outreach / engagement and CRM
- Prior knowledge or experience with our treatment offerings
-lasers, injectables, skincare or medical receptionist duties is a plus. - Prior knowledge of medical terminology and services are highly valued.
- Proficiency in computer literacy, including EMR-electronic medical records, CRM-customer retention management, Microsoft Office, Slack, Dropbox.
- Excellent interpersonal and communication skills to interact with diverse individuals.
- Ability to maintain confidentiality and handle sensitive information with discretion.

Job Summary:
- Manage the front desk activities
- Greet patients warmly, sincerely and professionally upon arrival, ensuring a positive first impression
- Manage patient check-in and check-out processes using EMR systems
-Scheduling appointments & navigating last minute accommodations - Preparing daily charts and work tickets
- Sales of skincare, supplements and other merchandise
- Coordinate administrative tasks to ensure smooth office operations.
- Answering phones & patient outreach or re-engagement with excellent phone etiquette; respond to patient inquiries promptly
- Daily reporting of metrics and KPIs
- Cash and medication handling
- Office supplies inventory maintenence and order placement
- Project coordination and support to various departments as required.
- Calendar management software utilization, multi-account email correspondence, and document organization.
- Ensure efficient communication flow in the office, other office locations and with external parties.
- Travel to other work sites, development seminars (including flights and overnight stays)
- Maintain accurate medical records, update patient information, and ensure compliance with HIPAA regulations
- Support administrative tasks such as filing, data entry, and managing office supplies
- Facilitate communication between patients and healthcare providers regarding care plans or follow-up instructions
- Ensure a clean and organized front desk environment that reflects professionalism
- Proven experience in a medical office setting, preferably within women’s health or specialty clinics
- Reliably arrive to work even in Colorado’s unpredictable weather / snow
- Willingness and ability to cover multiple location sites (currently Colorado Springs + Canon City)
