Overview/
Summary:
On-Board Engineering Corporation is seeking an experienced and qualified Field Contract Administrator. The Contract Field Administrator supports an ongoing construction project at a chemical manufacturing facility, with the majority of time spent in the field rather than in an office setting. This role serves as the primary administrative point of contact between site construction teams, contractors, and project management, ensuring accurate documentation, adherence to site procedures, and smooth day‑to‑day coordination in a safety‑critical industrial environment.
Key Responsibilities- Field Presence & Coordination
- Maintain a regular presence in the field to support construction supervision and trades with documentation, permits, and work packages.
- Attend daily toolbox talks, coordination meetings, and walk-downs to capture action items, track progress, and follow up on open issues.
- Act as a liaison between field crews, project managers, and client representatives to communicate schedule updates, constraints, and material or access needs.
- Document & Records Management
- Distribute, track, and retrieve construction documents (IFC drawings, specifications, RFIs, change directives, field change notices) to ensure crews are working from current revisions.
- Maintain organized hard-copy and digital files: drawings, redlines/as-builts, inspection reports, test records, permits, sign‑in logs, and daily reports.
- Support creation and maintenance of drawing registers, submittal logs, and document transmittals for field-related activities.
- Contract & Change Management Support
- Assist project management with field-level tracking of quantities, extra work, time & material tags, and change events for potential change orders.
- Collect and verify backup documentation from contractors (daily tickets, Client and equipment logs, material receipts) to support progress payment applications.
- Help monitor contract compliance in the field, including scope, schedule milestones, and key site‑specific requirements.
- Field Reporting & Progress Tracking
- Prepare and submit daily or weekly field reports summarizing Client, work performed, safety observations, constraints, and notable events.
- Support verification of physical progress against schedules and look‑ahead plans; flag discrepancies and constraints to the project team.
- Support punch list development, tracking, and close‑out activities with construction management and QA/QC teams.
- Safety, Compliance & Site Protocols
- Adhere to all chemical plant safety policies, procedures, and PPE requirements; participate in required safety meetings and trainings.
- Ensure that contractors’ documentation (JHAs/JSAs, permits-to-work, confined space, hot work, line break, lockout/tagout forms) is completed, signed, and properly filed.
- Assist in coordinating site access, badging, and orientation for contractors and visitors in collaboration with plant security and EHS.
- Logistics & Material Support
- Coordinate deliveries with site personnel, confirm quantities against packing lists, and route materials/equipment to designated laydown or installation areas.
- Support tracking of owner‑furnished and contractor‑furnished materials, including status updates and resolution of shortages or damaged items.
- Project Closeout Support
- Assist with compilation of turnover / closeout documentation, including as-built drawings, test reports, equipment manuals, and warranties.
- Support verification that all documentation required by contract and plant standards is received, accurate, and properly archived.
