Job DescriptionPurpose:
The Graduate Academic Advisor III, under general supervision, advises students concerning their educational and/or career goals, academic requirements, and related personal concerns; connects students with appropriate campus resources, assists with problem-solving, and supports student success and retention; manages student records, develops advising materials, and may assist with coordinating events; contributes to the development of advising policies, evaluates practices, and implements strategies to enhance the effectiveness and efficiency of graduate advising and student services.
Responsibilities:- Meets and corresponds with graduate students to provide academic advice and guidance, ensuring compliance with university and departmental regulations.
- Refers students to appropriate campus resources and departments.
- Assists international students with International Student & Scholar Services (ISSS) processes, electronic forms, etc.
- Reviews and approves graduate degree plans, assists students with adds, drops, withdrawals, changes of curriculum, and other academic processes.
- Reviews and approves ARCS requests.
- Manages the administrative processes of the Ph.D. Qualifying Examination.
- Organizes and maintains graduate student records; reviews academic records to monitor graduate students’ degree progress; organizes and interprets graduate student data.
- Contributes to the development and revision of informational material, handbooks, newsletters, etc.
- Works with faculty to ensure timely student progress and other matters related to graduate students.
- Assists with curriculum updates (new course requests, course changes) and administrative work associated with course registration.
- Communicates and coordinates with university and college-level offices, including ISSS, the Graduate & Professional School, College of Engineering Dean’s Office, and others.
- Reviews and provides input on graduate scholarship applications.
- Participates in graduate program events and activities, including prospective student visits, new student orientation and graduation receptions.
- Occasional work beyond normal office hours and/or work on weekends.
- Other duties may be assigned.
- Bachelor’s degree in applicable field or equivalent combination of education and experience.
- Three years of related experience.
- Proficiency with student information systems and Microsoft Office applications.
- Knowledge of university policies, procedures, and graduate education processes.
