Position: Admin / Front Desk Executive
Role Summary

We are looking for a  well-presented and organized Admin / Front Desk Executive  to manage front-office operations, administrative support, vendor coordination, and employee travel. The ideal candidate should have strong communication skills, a professional demeanor, and the ability to multitask efficiently while ensuring smooth office operations.

Key Responsibilities

Front Desk & Office Administration

Welcome and assist visitors, clients, and employees professionally and courteously.

Manage incoming calls, emails, and correspondence.

Maintain visitor logs and ensure adherence to security protocols.

Maintain a clean, organized, and welcoming reception area.

Support HR and administrative tasks such as maintaining files, attendance records, and documentation.

Assist in organizing meetings, conferences, and office events.

Travel & Visa Management

Handle  employee travel arrangements , including ticketing, itinerary planning, and approvals.

Coordinate with travel agencies for bookings, cancellations, and modifications.

Manage  visa application processes  for employees and visitors, including documentation, follow-ups, and tracking.

Maintain travel records, expenses, and reports as required.

Vendor & Facilities Management

Manage relationships with office vendors, including housekeeping, maintenance, cafeteria, and other service providers.

Ensure timely delivery of services, negotiate contracts, and optimize costs.

Maintain inventory of office supplies, assets, and equipment.

Coordinate with vendors and internal teams to ensure smooth day-to-day operations.

Requirements

Bachelor's degree in any discipline.

4- 6 years of experience in front desk, administrative, or office support roles.

Excellent verbal and written communication skills.

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Strong organizational, coordination, multitasking, and vendor management skills.

Ability to take initiative and solve problems proactively.

Pleasant personality, professional appearance, and customer-service orientation.

Preferred:

Prior experience in handling both reception and back-office administrative support.

Exposure to basic HR or accounting processes.

Knowledge of corporate travel management, ticketing, and visa processes.
