Responsibilities- Under direct supervision, performs a variety of clerical and routine technical duties involved in the processing, review, and approval of business licenses for the City; receives, logs, and provides technical review of business license submittals; assembles all necessary paperwork and documentation and routes more complicated applications to the appropriate levels for review; assists the general public over the counter; keeps and maintains appropriate records;
and performs related work as required.
- Receives direct supervision from the Finance Director. Exercises no supervision of staff.
This is an experienced-level class that performs the full range of duties related to processing, review, and approval activities required to ensure compliance with the City s business license regulations and regulatory licenses, in addition to the performance of public counter duties, and other routine technical duties in support of the assigned function. Assignments are generally performed within set procedural frameworks established by higher-level positions.
This class is distinguished from Permit Technician in that the latter performs a variety of technical duties required in the review and approval of building permits. This class is further distinguished from the Code Compliance Officer in that the latter is responsible for the identification, investigation, and correction of violations of the City s municipal codes, including those regulating the conduct of business within the City.
Of Essential Functions
- Management reserves the right to add, modify, change or rescind the work assignments of different positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job.
- Processes and issues over-the-counter permits; obtains approvals from planning and building divisions where necessary.
- Provides information to the general public regarding codes, laws, and ordinances; confers and coordinates activities with other departments and outside agencies.
- Receives applications and verifies their completeness regarding applicable licenses, insurance, and authorized signatures.
- Prepares license applications; assembles materials in specific order with all appropriate attachments, determines fees; and distributes/routes all documents to the appropriate staff.
- Receives requests for reports from the public and issues as appropriate; receives and processes requests for archived records and maintains a history of requests.
- Receives and screens visitors and telephone calls; takes messages, directs visitors and callers to the appropriate office or person; provides information to City staff, other organizations, and the public regarding City and departmental activities and functions, requiring the use of judgment and the interpretation of policies, rules, procedures and ordinances.
- Operates standard office equipment, including job-related computer hardware and software applications, facsimile equipment and multi-line telephones.
- Organizes and maintains various administrative, reference, and follow-up files, following an established filing system; researches and compiles information from such files and purges files as required; conducts data entry.
- Prepares correspondence, reports, forms, receipts, vouchers, and specialized documents related to the department to which assigned from drafts, notes, brief instructions, corrected copy, or dictated tapes using a computer with form templates.
- Proofreads materials for accuracy, completeness, compliance with departmental policies, formatting, and correct English usage, including grammar, punctuation and spelling.
- Performs duties of a disaster services worker in event of an emergency.
