SummaryThe Service Specialist provides superior customer service in secretarial, administrative and employee support for the Human Resources team. The role includes records management, payroll support, billing and accounts receivable coordination, information gathering, policy interpretation and problem resolution in the absence of the HR manager. Strong knowledge of the HRIS system is expected.
Responsibilities- The Specialist provides complete clerical support related to all areas of HR.
- Serve as administrative support for the Human Resources department including payroll accounting system processing; answer customer questions in person or by phone; screen calls and personal encounters related to employee relations, policy interpretation, benefits, compensation, performance management; escalate to HR manager as appropriate.
- Discuss problematic matters with the Director on a daily or as-needed basis.
- Process personnel actions and other HR paperwork (new hires to terminations, salary adjustments, licensing, medical leave, etc.).
- Coordinate hiring processes including directing the completion of applications, applicant flow via approved software, EEOC requirements, scheduling pre-employment physicals and drug screening.
- Maintain all employee and management files; update staff information and licensure; update rosters and memos; prepare files for new staff and verify information including current licensure.
- Order, track, receive and distribute supplies; complete employment verification and employee references as required.
- Support and promote the organization’s Vision, Values, Purposes and Strategies in interactions with customers.
- Maintain knowledge base in Human Resources through professional associations and educational sessions as appropriate.
- Attend meetings as necessary; participate in special task forces and planning committees as appropriate.
- Distribute payroll issues resolution and process garnishments.
- Perform all responsibilities of a senior secretary for Human Resources and Occupational Medicine as needed.
- Interact with employers for scheduling applicant interviews and Employee Health and Occupational Medicine appointments.
- Research and assemble marketing materials and drafts for administrative reports and rosters.
- Plan and coordinate hospital HR and Occupational Medicine activities; maintain appointment records and calendars.
- Participate in seminars, workshops and in-services as appropriate.
- Open and sort mail; respond to routine correspondence and maintain files.
- Monitor department budget and code invoices related to the department; maintain confidentiality of HR and Occupational Medicine matters at all times.
- One year of Human Resources experience required; two to three years preferred.
- Excellent written and verbal communication skills and computer experience required.
- One to two years of college preferred.
- SHRM, SHRM-CP, SHRM-SCP preferred.
