In conjunction with the Dean, Department Chairs, and the entire Academic Affairs unit, the Academic Assistant is responsible for ensuring that policies and processes are followed to support smooth daily operations throughout the academic division. The Academic Assistant serves as the administrative point person for division faculty on matters that directly relate to the division as a whole.
Minimum Requirements / Qualifications- High School Diploma or High School Equivalency Diploma.
- Minimum of one (1) year of experience in a combination of the following areas:
- Providing administrative or office support
- Record keeping and data management
- Scheduling and coordination
- Budget support
- Keep essential academic records for the division.
- Collect and maintain Faculty Semester Information, including posted office hours, outside employment forms, faculty load forms, and grade forms.
- Maintain records to support academic audits, program reviews, and licensure requirements.
- Proofread the college catalog and other academic publications to ensure accuracy and compliance.
- Organize, calculate, and track Faculty Load and Compensation.
- Coordinate faculty schedules, including room reservations, instructors, fees and textbooks, class limits, and enter information into Banner.
- Provide department support for meetings, accreditation, program awards, program registration, and related events.
- Support student programs and academic initiatives as determined by the Dean.
- Manage the division’s budget and grants, including tracking and reporting.
- Perform basic accounting functions for the division, including creation of requisitions and monitoring expenditures.
- Provide department support including student assistance, program testing, state testing, advisory council meetings, and room reservations.
- Maintain program records, student records, and support program events and admissions processes.
- Facilitate coordination across academic initiatives and programs to ensure smooth operations.
- Support the Academic division and departments in various activities and initiatives.
- Other duties as assigned by the Dean or VPAA in support of the college mission.
- Proficient in Excel, PowerPoint, and Word to create spreadsheets, presentations, and documents.
- Maintain accurate and organized records for faculty, students, and division operations.
- Coordinate tasks, projects, and deadlines; prioritize work to keep operations running smoothly.
- Assist with clear and professional communication with faculty, staff, and leadership.
- Ensure accuracy in data entry, reports, schedules, and documentation.
- Perform tasks using personal computers and peripheral devices.
- Operate and maintain (if applicable) office equipment such as photocopiers, printers, and scanners to support daily workflow.
The primary workplace for this position is the main campus at Cleveland State Community College in Cleveland, Tennessee. Occasional travel to off-campus instructional sites within the College’s five-county service area may be required.
