About the Role
The firm is seeking an experienced Litigation / Real Estate Legal Administrative Assistant with knowledge of Ohio law to support attorneys. This role provides comprehensive administrative and litigation support in a fast-paced legal environment and requires strong attention to detail, organization, and communication skills.
Responsibilities
- Assist with the preparation of legal documents, correspondence, memoranda, and pleadings
- Type, revise, and proofread legal materials with a high degree of accuracy while meeting strict deadlines
- Manage caseloads and maintain electronic and physical files, including e-filing in state and federal courts
- Assemble, organize, and prepare documents for filing within internal document management systems
- Support client billing activities and assist with billing coordination
- Coordinate attorney calendars, schedule meetings, and reserve conference rooms
- Open new client matters, request conflict checks, and prepare engagement and audit letters
- Conduct periodic file reviews and prepare records for storage or closure
- Arrange travel and prepare detailed itineraries
- Process incoming and outgoing mail and coordinate messenger services as needed
- Stay current on court rules and filing requirements; act as a liaison between attorneys and court systems
- Handle administrative tasks such as expense reports, check requests, and reimbursement processing
- Greet clients and visitors while maintaining professionalism and confidentiality
- Communicate effectively and professionally with clients, attorneys, and firm personnel via phone and email
- Perform additional administrative duties as assigned
Qualifications
High School Diploma or GED required
Required Skills
- Strong proficiency with Microsoft Office and excellent organizational, spelling, grammar, and time-management skills
- Working knowledge of litigation processes
- Experience with bankruptcy-related matters, pre- and post-judgment remedies, receiverships, foreclosures, and restructures is a plus
- Ability to draft and format standard legal pleadings
- Experience with electronic court filings in Ohio and other state and federal courts
- Familiarity with legal billing processes and electronic billing systems
- Ability to docket and track court deadlines and appearances
- Willingness and ability to learn proprietary legal software
- Proficient in working with PDF and Word documents, including redlining and document comparison
- Ability to format, manipulate, and convert Excel documents
- Strong interpersonal and communication skills with the ability to interact professionally with diverse audiences
- Proven ability to prioritize multiple tasks and meet deadlines in a high-volume environment
- Ability to work both independently and collaboratively within a team
- Demonstrated discretion and ability to maintain confidentiality
- Capable of managing a demanding workload with multiple concurrent projects
