We are seeking an experienced Litigation/Real Estate Legal Administrative Assistant knowledgeable in Ohio law based in our Cleveland office.
Duties and Responsibilities- Assists in the preparation of legal documents, correspondence, memoranda, and pleadings.
- Types, revises, and proofreads legal documents accurately, prioritizes assignments, and meets specific deadlines on projects.
- Performs caseload and database management of files and e-filing in Michigan and Illinois State Courts, and Bankruptcy/Federal Courts.
- Assembles, organizes, and prepares documents for filing into our filing systems.
- Coordinates client billing matters; assists with client billing process.
- Coordinates schedules; arranges meetings and reserves conference rooms.
- Opens new client/matters, requests conflict of interest checks. Drafts engagement and audit letters.
- Conducts periodic review for possible storage of older files; prepares files to be closed.
- Makes travel arrangements and prepares itineraries.
- Processes mail, and messenger services as required.
- Keeps up to date on changing court filing requirements. Serves as liaison between assigned attorney and court system.
- Administrative responsibilities, including preparing expense reports, check requests and reimbursement requests.
- Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
- Effectively and professionally communicates via e-mail and via telephone with clients, attorneys, and other staff members.
- Performs other duties as assigned.
Skills and Abilities
Required
- Minimum High School Diploma/GED.
- Proficiency with Microsoft Office programs and excellent computer, organizational, spelling, grammar, and time management skills.
- Knowledge of complete litigation processes.
- Knowledge of bankruptcy litigation, pre- and post-judgment remedies, including receiverships, foreclosures, debt sales and debt restructures a plus.
- Knowledge of drafting standard pleadings.
- Knowledge of electronic court filings in Michigan and Ohio State and Federal Courts.
- Knowledge of client billing process; electronic billing.
- Ability to docket and follow-up on court dates.
- Ability to learn proprietary software relating to the attorneys to whom assigned.
- Ability to work and manipulate PDF and Word documents; familiar with redlining and comparing documents.
- Ability to work on Excel documents, formatting, printing, converting.
- Ability to communicate effectively, courteously, and professionally with clients, visitors, staff, and timekeepers.
- Ability to organize and prioritize numerous tasks and complete them under time constraints and work overtime, as necessary.
- Ability to work collaboratively in a team; proactively demonstrate teamwork and communication with team members and all Firm personnel.
- Interpersonal skills necessary to communicate effectively both orally and via email and follow instructions effectively from a diverse group of attorneys and staff and provide information with ordinary courtesy and tact.
- Ability to work autonomously and with discretion.
- Ability to handle a very busy desk with multiple projects.
