Overview
Job Summary: The Docketing Specialist is responsible for accurately tracking and managing critical deadlines, case information, and court filing requirements for attorneys and their cases. Key duties include using specialized software to enter deadlines, ensuring compliance with court rules, filing electronic documents, maintaining case files, and communicating vital date-related information to the legal team. This role requires strong organizational ability, meticulous attention to detail, proficiency with legal software, and excellent communication and time-management skills.
EssentialJob Duties
- Calculate and enter deadlines for filings, hearings, discovery, and other crucial dates into a docketing system.
- Review court filings and correspondence to identify important dates and ensure compliance with court rules and procedures.
- Use specialized docketing software (e.g., Milana) and other systems to manage case information and deadlines.
- Assist with or handle electronic filing of documents with federal, state, and appellate courts.
- Maintain organized case files and track necessary due diligence materials.
- Provide support and information to attorneys, paralegals, and other staff regarding case deadlines and status.
- The ability to work meticulously and accurately with legal documents and data is crucial for ensuring no deadlines are missed.
- Managing multiple cases and numerous deadlines requires strong organizational abilities.
- Familiarity with case management systems, electronic filing procedures, and the Microsoft Office Suite is generally required.
- Excellent written and verbal communication skills are necessary for interacting with internal staff and potentially external parties.
- Proactive and analytical skills are beneficial for resolving issues that arise with documents or deadlines.
- The ability to adapt to changing conditions and updates in legal rules and procedures is important.
- Experience working in a law firm highly desired.
- Minimum of 3 years of prior experience in litigation docketing desired.
- Familiarity with a rules-based calendaring software such as Milana preferred.
- Experience with firmwide calendaring preferred.
- Proficient in Microsoft Office.
- Experience with federal, state and local court systems, including electronic filing systems (i.e., NYSCEF, Nex Gen, PACER, et al.).
