The Transaction Specialist - Alternative Assets serves as a primary point of contact for clients, financial advisors, and asset sponsors navigating the investment process within their IRA or Solo 401(k) accounts.

This role demands a precise, client-focused professional who understands the regulatory framework governing self-directed retirement accounts - particularly IRC Section 408(m) and the eligibility rules that govern precious metals held in IRAs. The Transaction Specialist ensures that all investment documentation is accurate, compliant, and processed with the efficiency our clients expect when closing deadlines are on the line.

Key Responsibilities
  • Review and process investment documentation for precious metals and alternative asset transactions, maintaining a zero-error standard and meeting investor closing deadlines.
  • Stay current on IRS guidance, DOL rules, and industry developments related to self-directed IRAs, with particular attention to prohibited transaction rules under IRC Section 4975 and UBIT implications where relevant.
  • Apply working knowledge of IRC Section 408(m) to assess precious metals investment eligibility, including fineness standards for gold (0.995+), silver (0.999+), platinum (0.9995+), and palladium (0.9995+), and verify that proposed holdings will be stored at an IRS-approved depository.
  • Identify and communicate documentation deficiencies to clients, advisors, and asset sponsors promptly, with clear guidance on resolution.
  • Serve as a single point of contact for assigned clients, managing a transaction workflow queue from intake through funding and confirmation.
  • Conduct professional outbound and inbound communications via telephone and email, building trusted relationships with high-net-worth individuals, RIAs, and alternative asset sponsors.
  • Collaborate across Operations, Compliance, and Client Services to ensure a seamless investor experience and consistent application of custodial policies.
  • Recognize when a transaction or client situation requires escalation and route issues to the appropriate manager or compliance officer with appropriate context.
  • Maintain accurate transaction records and documentation in Heritage IRA's account management system in accordance with internal policies and regulatory requirements.
  • Support process improvement initiatives and perform other duties as assigned by Operations leadership.
Qualifications

The following qualifications represent our expectations for the person who will succeed in this role.

Required
  • High school diploma or equivalent.
  • Minimum of three years of experience in an operationally driven environment, such as financial services, banking, trust administration, or loan processing.
  • Three or more years of client-facing customer service experience, ideally with high-net-worth or professionally sophisticated clientele.
  • Demonstrated familiarity with IRC Section 408(m) and the IRS standards governing eligible precious metals investments within IRAs.
  • Ability to read and evaluate financial and legal investment documentation with high accuracy and attention to detail.
  • Strong written and verbal communication skills with a professional, calm demeanor under deadline pressure.
  • Proven ability to manage multiple concurrent transactions and prioritize effectively without sacrificing accuracy.
Preferred
  • Associate's or bachelor's degree in Business, Finance, or a related field.
  • Background in real estate, loan processing, trust operations, or custodial services.
  • Experience working with precious metals dealers, depositories (Brinks, Delaware Depository, IDS, etc.), or IRA custodians.
  • Familiarity with prohibited transaction rules under IRC Section 4975, disqualified person definitions, and UBIT as it applies to retirement accounts.
  • Experience with self-directed IRA platforms, back-office custodial software, or financial CRM systems.
Professional Certifications

No certifications are required at the time of hire. Heritage IRA actively supports professional development and encourages team members to pursue relevant designations such as the Certified IRA Services Professional (CISP) credential offered through the American Bankers Association, as well as continuing education related to alternative investments.
