Power School/Academic Systems Administrator

Compensation: $55,000 - $72,000

Saint Martin de Porres High School is seeking a Power School/Academic Systems Administrator to be part of an innovative urban college-prep high school experience. This 12‑month per year position is full‑time and exempt.

Position Summary

This role will be responsible for managing all aspects of the Power School system—including user accounts, security roles, customization, and configuration—to support the educational mission by ensuring accurate student records, facilitating communication, and leveraging data for decision‑making.

Essential Duties and Responsibilities
  • Systems Integration
    :
    Manage installation, configuration, and integration of all academic management systems, ensuring optimal performance, efficiency, and data accuracy.
  • Current applications:
    Clever, Google Classroom, Final Site, Kick Board, Parent Square, Mobile Serve
  • Data Integration
    :
    Oversee the integration of student data into testing portals, personalized learning platforms, and other applications as needed.
  • Current applications/programs:
    College Board, Edmentum, IXL, Riverside Insights (IOWA), NWEA MAP
  • Scheduling
    :
    Build comprehensive class/bell schedules in Power School based on the Master Schedule, academic/state requirements, and student preferences.
  • Collaborate with the Principal, Assistant Principal, and departments to build annual calendar and master schedule.
  • Adjust or modify student schedules for transfers or academic needs.
  • Resolve student schedule conflicts with department leads, deans, and administrators.
  • Review transcripts for prospective transfer students and develop course balance recommendations.
  • Policy Compliance
    :
    Stay informed on policies related to graduation pathways, student data privacy/security, and other regulations.
  • Data Management
    :
    Ensure accuracy and integrity of student data—including enrollment, attendance, grades, test data, and demographics.
  • Report Card Processing
    :
    Facilitate quarter‑final grade reporting, progress reports, and distribution through Parent Square.
  • Communication
    :
    Serve as liaison between staff, parents, and students for Power School‑related inquiries and updates.
  • Technical Support
    :
    Provide prompt technical support for faculty, staff, and students, resolving academic software and system issues.
  • Reporting and Analysis
    :
    Generate reports and analyze data to monitor student progress, support administration, and provide data for state, diocesan, Cristo Rey Network, and grant reports.
  • Test Administration
    :
    Assist the Testing Committee with integration of student data into testing portals and collection of test results.
  • Create testing sessions for all IOWA assessments.
  • Upload rosters for IOWA and NWEA MAP assessments by term.
  • College Board & Testing Coordination
    :
    Oversee standardized testing (NWEA Map, IOWA, SAT/PSAT) and manage AP class and state data systems.
  • Manage access for faculty for PSAT/SAT testing, AP classes, and state data systems.
  • Integrate student data into College Board for optimal performance.
  • Manage ordering of all AP exams.
  • Add or remove staff/faculty access.
  • Monitor annual invoicing and platform efficiency.
  • Advise Principal/Leadership on platform effectiveness.
  • State Graduation Requirements & Student Schedule Alignment
  • Ensure student schedules align with grade‑level cohorts and graduation requirements.
  • Ensure compliance with state requirements.
  • Cross‑Departmental Support
  • Work closely with Faculty, Enrollment, CWS, Academic Support, College Counseling, and Main Office.
Education Requirements
  • Preferred Degree:
    Education, Information Systems/IT, Data Analytics, Educational Administration, or related field.
Experience
  • 3–5 years of experience in K–12 academic systems, student information systems (preferably Power School), or school operations such as registrar, scheduling, or assessment coordination.
  • Proven collaboration with school leadership, faculty, and cross‑functional teams.
Required Skills and Traits
  • Knowledge of data privacy regulations and compliance in educational settings.
  • In‑depth knowledge of Ohio Department of Education standards and regulations.
