high school diploma or ged and six (6) months of experience including public contact and clerical work, or an equivalent combination of education, training, and experience.

function

the purpose of this classification is to perform a variety of legal clerical work in support of the prosecutor’s office and to provide general information and assistance to staff and the public. This is an entry/journey clerical classification, characterized by the responsibility to provide clerical support in the prosecutor’s office including receptionist, data entry, filing, mail room, and file distribution. The incumbents receive immediate supervision progressing to general supervision as experience is gained.

This class works under a well-defined framework of policies and procedures. Employees at this level are expected to become aware of operating procedures and policies of the work unit.

responsibilities

the following duties are normal for this classification. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • acts as a receptionist; assists and responds to requests for information from county employees and the public in person or by phone; staffs the front desk; interacts with court personnel, attorneys, and the general public; provides basic information on department and assigned program procedures or refers calls or visitors to appropriate personnel; accepts and receives deliveries and notifies recipients; sorts and distributes incoming and outgoing mail;

    verifies addresses.
  • performs routine clerical duties; sets up and maintains files; enters information into logs and journals; updates tracking sheets; processes payments; verifies that documents are scanned; faxes documents.
  • processes various court records and documents; receives and/or gathers documents; sorts, indexes, and prepares documents; reviews and verifies required information; stamps, records and/or certifies documents; prepares and sets up files, organizes documents, and files documents in designated order; retrieves/replaces files; conducts records maintenance activities in compliance with guidelines governing record retention.
  • processes court records, law enforcement reports and records, and evidence for digital imaging; sorts and prepares documents; validates documents; reviews documents for completeness and accuracy; locates missing documents and corrects any errors; scans documents into digital imaging system.
  • types, enters, proofreads, and processes a variety of court-related documents and data; enters information into department databases; verifies information for accuracy and completeness; corrects errors as necessary; updates database information and purges old data as appropriate; logs and certifies work activities.
  • processes incoming and outgoing mail; retrieves, sorts, and delivers incoming mail; compiles and prepares documentation for mailing or delivery as needed; sorts, organizes, labels, and addresses outgoing mail; scans outgoing mail; delivers documents in person or through established mail delivery systems. Maintains related documentation.
  • performs all other duties assigned, delegated, or required of a legal clerk 2.
