Job Summary
The Operations Assistant will provide administrative support to attorneys and staff to ensure a smooth business environment.
Primary Duties and Responsibilities- Responsible for calendaring and updating deadlines and court dates, producing a weekly docket calendar to all attorneys.
- Conduct daily court runs to file documents, conduct research, and interface with court personnel.
- Monitor off-site storage, which includes inventory of files and recall boxes.
- Distribute incoming mail and packages daily to attorneys and staff.
- Stock paper and supplies to all printers/copy machines daily.
- Monitor supply inventory and office supplies and make order recommendations to Receptionist.
- Cover Reception Desk as needed and greet guests and vendors and direct them appropriately.
- Monitor internal document shredding process.
- Maintain cleanliness of conference rooms and offices, especially before and after meetings.
- Clean out work spaces and offices for employee departures and arrivals.
- Assist Controller with processing cash receipts, daily bank deposit, general accounting duties, and general administrative support as requested.
- Under the direction of the Firm Administrator, assist attorneys / legal assistants with special projects.
- Assist with social gatherings and special events as needed.
- Input attorney billable and non-billable time in billing system as needed.
- Update Library materials as needed.
- High School Diploma or equivalent
- Proficiency in Microsoft Word, Excel, and Outlook.
- Excellent written and verbal communication skills.
- Ability to maintain composure under pressure.
- Ability to multi-task and to complete projects with little direction.
- Ability to use discretion and handle confidential information.
- Attention to detail and excellent organizational skills.
- Ability to lift a minimum of ten pounds.
