Position: Administrative Assistant I

Administrative Assistant I SUMMARY

The Administrative Assistant I will support and assist the Magistrate Department management and staff with typing, clerical, and administrative matters.

RESPONSIBILITIES
  • Typing and word processing, including transcription of recorded and handwritten correspondence, memos, magistrate decisions, orders, reports, and miscellaneous typing in a timely, accurate and professional manner.
  • Answer telephones, transfer calls as appropriate, take messages, assist litigants with status of cases and court procedures, answer inquiries that require general knowledge of the department and court procedures.
  • Provide customer service as receptionist and liaison with the public and other court personnel. Greets all individuals and addresses their questions and requests promptly and professionally. Ensure Session Room coverage for the department.
  • Maintain attendance sheets, staff time records, and vacation-sick time off calendar.
  • Order and maintain supplies. Maintain office supply tracking database.
  • Process and maintain records of staff travel/training request forms.
  • Maintain office equipment (fax machine/copy machine) in the department.
  • Coordinate and/or provide support and assistance when necessary for completion of any special department or court projects.
  • Perform various clerical duties as assigned by management and magistrates.
  • Maintain confidentiality of the sensitive materials handled.
  • Works as part of a team to ensure that all activities and goals of the department are met on a timely basis.
  • Provide quality service that continuously improves, that meets or exceeds public expectations, and that ensures that all are treated with courtesy, dignity and respect.

    KNOWLEDGE, QUALIFICATIONS,

    SKILLS and ABILITIES
  • Excellent written and verbal communication skills
  • Good math skills
  • Demonstrated proficiency in the use of Microsoft Office, Word, Excel, Access and Outlook
  • Ability to type at least 50 wpm with minimal errors
  • Demonstrate dedication to providing excellent customer service in person and on the telephone
  • Ability to work as part of a team in meeting departmental and organizational goals
  • Ability to prioritize, organize and meet deadlines
  • Ability to operate general office equipment, including a Dictaphone
  • EDUCATION and/or EXPERIENCE

    High School Diploma or equivalent with prior secretarial experience required.

In addition, while carrying out the duties of this position, the employee is expected to model high ethical conduct on and off the job, and exhibit a professional and respectful demeanor with all Court employees.

    Qualified applicants may be required to submit to testing and provide writing samples. Proof of education and employment references will be required before final interview. Employment predicated upon successful completion of criminal record check and drug testing required. You'll be considered a probationary employee for your first 180 days of employment.
