Under the supervision of the Cleveland Office Administrator, the Office Assistant is responsible for providing in‑office support to secretaries and attorneys in the areas of reception, mail processing and distribution, records and file support, photocopying, scanning, office maintenance, clerical support, and other administrative tasks as directed. This is an in‑office position resident in Cleveland.
Pursuant to Cleveland, OH regulation, the hourly salary range for this position is $21.32 to $35.57, contingent on relevant experience and education, and includes eligibility for performance‑based bonuses. We offer generous compensation and benefits packages. For more information visit:
Responsibilities- Accountable for the administrative and secretarial support of the Office Administrator, including maintenance of the office internet page.
- Responsible for assisting Office Administrator in updating and maintaining the Cleveland office operations documentation.
- Assists the Office Administrator with upkeep of budget reports.
- Responsible for receiving calls, transferring calls, taking messages, and communicating messages accurately and timely.
- Responsible for greeting and accommodating visitors and advising appropriate personnel.
- Accountable for all visitors receiving the proper visitor information including badges and appropriate security access, and return of same upon departure, set up of workstations and focus rooms for visitors.
- Responsible for administration of badge program, assigns badges to new employees and deletes access for terminated employees, coordinates with security and parking on both badges.
- Responsible for conference room reservations.
- Accountable for understanding and coordinating the technology needs of conference room reservations including conference phone, internet access, and media.
- Responsible for catering needs of conference room reservations and other meetings including food and beverage orders, setting up food delivery and conference room clean up. Maintains catering kitchen stock and appearance.
- Accountable for conference room reservation schedules.
- Accountable for the neatness and cleanliness of the lobby and reception area.
- Accountable as the liaison with building maintenance for issues including office temperature, light bulbs, and other daily maintenance issues. Tracks building issues, liaison with building cleaning company.
- Responsible for coding and processing of firm invoices.
- Accountable for keeping Office Administrator informed of problems and issues.
- Accountable for performing back‑up duties for APCs as needed.
- Other duties may be assigned.
- Minimum High School Diploma required, college degree preferred.
- Minimum of 2 years on the job experience within a law firm and/or office environment in order to gain an understanding of office policies and procedures and effectively operate equipment with minimal supervision.
- Ability to sort and organize documents for copy jobs.
- Must have strong knowledge of MS Word, Excel, PowerPoint and Outlook.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Interpersonal skills necessary in order to communicate by email and telephone to provide information in an appropriate business manner.
- Must be able to work independently, be proactive, complete assigned tasks, and perform duties with minimal supervision.
- Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties.
- Ability to operate, maintain and stock supplies for standard office equipment, including laptops, printers, photocopiers, and telephones.
- Work may require irregular hours and occasionally require more than 40 hours per week to perform essential duties of the position.
- Must be courteous, cooperative, and work collaboratively with professional staff and attorneys.
