Job Summary

Manages all aspects of sponsored projects in assigned units for CECAS during an award's life cycle. Provides high level customer service to faculty, researchers and department administrators and serves as an administrative liaison for Principal Investigators (PIs) and Central units (e.g., GCA and OSP). Performs other duties as assigned.

Responsibilities
  • Project Administration (40%): Provide technical assistance, guidance and oversight to researchers and University constituents in the awarding of sponsored funds. Monitor sponsored budgets, cost sharing, subaward encumbrances. Serve as an approver in buyWays and Concur to ensure allowability and compliance. Act as an administrative college-liaison for PIs and central units in requests for changes in budget revisions, changes in scope, effort commitments, or no cost extensions.

    Assist PIs with administrative and financial post-awards matters and analyze and resolve problems related to financial compliance or availability of funds.
  • Fiscal Support (20%): Monitor sponsored projects for financial issues and compliance. Manage cost-share projects, prepare internal budgets, budget amendments, and status corrections. Prepare monthly reconciliations for all sponsored projects and contracts. Advise PIs on current balances and necessary corrections for compliance. Ensure charges are appropriately allocated to grant projects. Clear month-end errors and approve summer pay forms for faculty charging sponsored research projects.
  • Program Support and Compliance (15%): Communicate with PIs and unit staff regularly. Review and resolve project journal and voucher errors, including cost-share accounts. Work with CECAS PPS and FBM to ensure expenses and payroll are posted correctly and are allowable. Stay current on Federal, State, and University regulations related to research issues. Assist in preparing training materials and delivering workshops on implementation and changes.

    Develop tracking reports on compliance-related issues for internal controls. Review expenditure documentation and complete monthly reconciliation.
  • Sponsored Reporting and Special Reporting (15%): Provide financial and budget information (including cost share) to PIs for sponsor monthly, quarterly, and yearly reporting. Certify cost share expenses for SF-425 reports. Prepare budget workbooks with budgets, actual expenditures, and forecasting for sponsored projects (including cost-share and indirect costs). Complete audit requests as needed.
  • Project Setup, Review and Close-out (10%): Interpret award terms, provide guidance to PIs, and seek guidance from GCA for unique terms. Develop updated budgets for modifications and submit sponsor and internal budgets to GCA. Verify final closeout expenditures, cost sharing and revenues; provide documentation to GCA certifying project is ready to close.

    • Education: 1st Bachelor's Degree in accounting, finance, business or related field and professional experience directly related

    • Education: 1st Master's Degree in Accounting, Finance, Business, or related field
    • Work Experience: 3+ years
