Position: Clerk III; Open Records Custodian
Description

GENERAL SUMMARY

Open Records Custodian for the Sheriff's Office. Provides advanced clerical support within department; processes high volume incident reports with high regards to greeting/meeting the needs of the public.

ESSENTIAL DUTIES & RESPONSIBILITIES

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

• Provides Clerical/Customer service, which includes all aspects of office setting. Answering large volume of telephone calls and assisting/directing civilians to the appropriate offices and sorts mail.

• Provides records to the public via open records requests.

• Maintains log of all law enforcement records distributed to other agencies and/or requestors.

• Collects fees for open records requests, fingerprints, bodycam footage, etc.

• Provides 911 Call Cards and Audio Calls for Texas Department of Family and Protective Services and/or other agencies.

• Helps maintain escrow money for county and general bank accounts for fines/bond fees which consists of deposits, working on spreadsheets and cutting of checks for payments to be issued.

• Coordinates with various offices, prepares correspondence for CID/Patrol offices, maintaining documents on everyday paperwork to complete and distribute to county offices and outside agencies.

• Performs other related duties of a similar nature and level as assigned.

MINIMUM QUALIFICATIONS

Education and Experience

High School diploma or equivalent, with under and including 1 year related experience. Combination of education and experience sufficient to successfully perform the essential functions listed above can be substituted.

KNOWLEDGE, SKILLS, and ABILITIES

• Ability to operate office equipment and related software

• Knowledge of filing

• Ability to answer and distribute calls

• Strong organizational skills

• Ability to provide excellent customer service

• Data entry and secretarial skills

• Work independently

• Handle common inquiries or complaints

• Exercise good judgment and focus on detail as required by the job

• Follow oral and written instructions and procedures

• Establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit and other departments, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilities
