Clerk Supervisor

Location: 315 Court St., Clearwater, FL

Schedule: Monday - Friday, 8 am to 5 pm or occasionally 8:30 pm - 5:30 pm

The Clerk of the Circuit Court, as an elected Constitutional Officer responsible for safeguarding public records and funds, is seeking a Records Specialist Supervisor.

This is a supervisory/leadership position within the Pinellas County Clerk of the Circuit Court & Comptroller’s Office. The selected candidate will supervise staff in the Recording Services Department and assist with day-to-day operations and tasks throughout the department. This position assists stakeholders, partner agencies, and the general public with various processes. An employee in this class plans, assigns, monitors, and reviews the work of a moderate to large staff of subordinate lead worker(s) and staff.

Responsibilities include the proper performance of the assigned supervisory or technical activities of the department in accordance with the Florida Statutes, and regulations. Independent work decisions are made based on experience and knowledge of departmental operations.

What Would You Do?
  • Plans, assigns, supervises and evaluates the work of all employees assigned to section, including lead workers.
  • Processes payroll and staffing changes in OPUS.
  • Analyzes and resolves employee related issues/concerns.
  • Prepares weekly and monthly reports.
  • Reviews sectional manual and Clerk's website for accuracy and recommend changes as needed.
  • Leads and trains employees in section, and reviews their work.
  • Processes and assists with all sections job duties.
  • Prepares work schedules and reassigns work as necessary.
  • Resolves customer related issues.
  • Coaching and counseling employees.
  • Performs miscellaneous duties, testing of departmental programs and applications, and working on special projects as assigned.
  • Opening and closing duties which include verifying and reconciling of cash drawers for front and off counter tills.
  • Documents, prepares and conducts quarterly performance reviews of supervised staff utilizing Taleo.
  • Performs related work and all other duties assigned.
What Would You Have To Have?
  • At least five (5) years of progressively responsible work experience, including at least one (1) year in a supervisory, team lead, or leadership role. Experience in a Clerk of the Court or governmental setting is preferred; or
  • Associate’s Degree in Business or Public Administration, Accounting or a related field and at least (3) years of progressively responsible work experience, including at least one (1) year in a supervisory, team lead, or leadership role. Experience in a Clerk of the Court or governmental setting is preferred; or
  • Bachelor’s Degree in Business or Public Administration, Accounting or a related field and at least (1) year of progressively responsible work experience, including at least one (1) year in a supervisory, team lead, or leadership role. Experience in a Clerk of the Court or governmental setting is preferred; or
  • An equivalent combination of education, training and/or experience.
Knowledge,

Skills and Abilities
  • Knowledge of the principles of cashiering, governmental accounting and record keeping procedures depending on area of assignment.
  • Knowledge of legal terminology, grammar, spelling and math.
  • Knowledge of automated office procedures and practices.
  • Knowledge of the principles of office management and supervision.
  • Knowledge of the Florida Statutes, Rules of Court, Office Wide Policies and Procedures, departmental procedures, Personnel Rules and other legal authorities pertinent to the area of assignment.
  • Skill in public speaking and conducting sectional meetings.
  • Skill in coaching, counseling and assisting employees to overcome job problems or performance deficiencies.
  • Ability to make sound decisions in accordance with laws and regulations and apply these to work problems.
  • Ability to train and supervise the work of subordinate employees.
  • Ability to maintain public relations in an effective, tactful and courteous manner.
  • Ability to understand and provide information both orally and in writing.
  • Ability to research and understand changes in statutes and apply to business processes.
