What you will be responsible for
  • Review legal documents (e.g., petitions, wills, trusts) for accuracy, completeness, and compliance with Florida probate and estate laws.
  • Audit client files to ensure proper documentation, organization, and adherence to firm standards.
  • Identify and flag discrepancies or errors in documents or processes, coordinating corrections with attorneys and paralegals.
  • Maintain up-to-date knowledge of probate, estate planning, and elder law regulations to ensure compliance.
  • Develop and maintain checklists and protocols for document preparation and file management.
  • Train and guide legal assistants and paralegals on quality standards and best practices.
  • Assist with client communications to clarify document requirements or resolve issues, under attorney supervision.
  • Support the firm’s flat-fee billing process by verifying service deliverables align with client agreements.
  • Contribute to a client-focused, supportive environment by ensuring high-quality, efficient service delivery.
Requirements Who you are
  • Associate’s or Bachelor’s degree in Legal Studies, Business Administration, or a related field (or equivalent experience).
  • 2–3 years of experience in legal administration, quality control, or a related role, preferably in a law firm.
  • Knowledge of probate, estate planning, and Florida legal processes and regulations.
  • Experience reviewing legal documents or conducting compliance audits.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and case management software.
  • Exceptional attention to detail and strong organizational skills.
  • Excellent written and verbal communication skills for team and client interactions.
  • Ability to train and support colleagues in a collaborative, fast-paced environment.

Language Skills

Must speak English. Must have impeccable written and verbal communication skills, the ability to pay attention to detail, and the ability to maintain confidentiality.

Physical Requirements
  • Prolonged periods of sitting at a desk (6 to 8 hours a day).
  • Utilizing a computer for extended periods at a time.
  • Occasional lifting of files or materials up to 20 lbs.
  • This role starts at between $25 and $30 an hour depending on experience.
  • PTo and Sick Days after 90 days.
  • Unlimited PTO after one year.
