The Town of Clayton is seeking applicants for a Document and Digitization Intern for multiple Public Services
Departments

The purpose of the Document and Digitization Specialist Intern is to gain experience with records management, document digitization, and operational documentation within municipal public services. The intern will work closely with Public Services leadership and administrative staff to organize, digitize, and standardize operational documents used across departments such as Water Resources, Electric, Public Works, and Operations.
This internship will support the preservation of institutional knowledge and improve access to operational records that support daily service delivery, compliance, and long‑term planning.
Responsibilities- Assist with digitizing paper records and organizing electronic files into standardized formats
- Review and index operational documents including reports, manuals, plans, and historical records
- Develop and apply document naming conventions and folder structures to improve accessibility
- Assist with organizing records related to infrastructure, operations, and administrative functions
- Support the transition of legacy documents into searchable digital formats
- Document procedures for ongoing document management and digitization practices
- Other duties as assigned that pertain to records management and operational documentation
- Knowledge of municipal records management and document lifecycle practices
- Understanding of how operational documentation supports public service delivery and compliance
- Experience with digitization, indexing, and information organization
- Ability to support institutional knowledge management in a government environment
- Proficiency with Microsoft Office applications (Word, Excel, SharePoint or similar systems)
- Strong organizational skills and attention to detail
- Ability to manage large document sets and apply consistent formatting and naming conventions
- Ability to communicate and coordinate with staff across multiple departments
College student or recent graduate.

Experience or coursework in records management, information organization, or administrative systems preferred.
Necessary Special Qualifications / Requirements- Must be 18 years or older by the internship start date.
- Must possess a valid Driver License.
- Must be flexible with scheduling requirements.
Depending on the position, the Town may consider an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.
