Department of Mail, Archive & Printing Services (M.A.P.S.) Position Summary
The Service Administrator provides essential operational and financial support for the Printing, Mail, and Archival services at Rogers State University. This position is responsible for the execution of print jobs of all sizes and complexities, the coordination of physical record preservation or archiving, and the accurate processing of departmental billing for the campus. This role requires a strong attention to detail and the ability to stay on track while managing multiple projects in a fast-paced environment.
The Service Administrator must be able to manage time well and work effectively as part of a team while handling their own specific responsibilities. Success in this role depends on the ability to keep the team and other university departments consistently updated and informed.
- Printing and Mail Execution:
Responsible for the production of all sizes of print jobs, from standard small-run documents to large-scale, high-complexity projects; - Chargeback Processing:
Responsible for the calculation, entry, and reconciliation of both printing and mail chargebacks to ensure accurate departmental billing; - Archival Coordination:
Oversees the collection, physical organization, and manual labeling of university records and historical materials; - Physical Preservation:
Implements best practices for the physical storage, shelving, and environmental monitoring of archival materials to prevent deterioration; - Financial Coordination:
Processes outside billing, generates invoices, tracks payments, and maintains accurate data entry for all service charges from other campus departments monthly; - Record Retention:
Monitors and follows established record retention schedules in accordance with university policy and legal requirements; - Research Support:
Facilitates requests for archival research and oversees the secure handling of physical documents during review; - Documentation and Reporting:
Creates and maintains "how-to" manuals for M.A.P.S. workflows and prepares detailed operational reports regarding mail/print volumes and archival intake.
- Ability to lift and move archival boxes, paper stock, and mail bins (standard 30–40 lbs);
- Ability to stand for extended periods while operating printing and mail equipment;
- Manual dexterity for handling fragile historical documents and performing precise printing finishing tasks.

Staff employees accrue 10 hours of vacation and 10 hours of sick leave each month through their first five years of employment, and then the leave gradually increases based on years of service. In addition, employees are given 3 personal days a year to take off work for their personal needs.
