Position: Administrative Assistant to Corporate Driving Experiences
Location: South Cerney

Overview

We're looking for a great communicator with an optimistic outlook to join the Operations Team of a highly successful driving experiences company as an Administrative Assistant. This role will have an opportunity for advancement due to company expansion within the year. This job is not directly for Hello Rock Studios as we are assisting with the hiring process only. It's a fun company with a lot going on!

Responsibilities

Responsibilities include:

  • Schedule and manage customers in the event booking calendar through our booking system
  • Manage customer vouchers including sales and redemptions
  • Respond to email enquiries regarding bookings, experience questions and operations
  • Answer phone enquiries about our experiences including sales, experience requirements for participation, and other customer concerns or questions
  • Manage social media and other online platform communications and posts
  • Create and send newsletters on a regular basis
  • Order and manage all office supplies
  • Coordinate with wider team providing any office administrative support for staff and contractors
  • Source and research pricing from various vendors
  • Handle all mail and package deliveries
  • Provide sales support for corporate and special event group bookings, including offering package experience options, rates and details
  • Provide support to book keeper for all accounting administrative needs
Work Hours

Monday - Friday, 9:00am to 5:00pm, with some flexibility on occasion.

Role Description

This is a full-time, on-site role for an Administrative Assistant to Corporate Driving Experiences based in Down Ampney, Cirencester. The responsibilities include managing daily administrative tasks, maintaining schedules, coordinating bookings, staffing, and providing executive administrative support. The role also involves handling phone calls in a professional manner, ensuring efficient communication, and performing clerical duties essential to the smooth operation of corporate driving events and experiences.

Qualifications
  • Two years experience as an Administrative Assistant preferred
  • Proficiency in Administrative Assistance and Executive Administrative Assistance to support daily operations effectively
  • Strong communication and professional phone etiquette skills to manage internal and external interactions
  • Capability in performing clerical skills, including organizing, filing, and managing records
  • Ability to multitask and prioritize responsibilities in a dynamic and fast-paced environment
  • Familiarity with event coordination or corporate experience-related tasks is an advantage
