Job Overview
The Associate Registrar serves as a key collaborator to the Deputy Registrar in overseeing the registration, records management, and student support operations within the Office of the University Registrar. This role collaborates closely with leadership to ensure the effective execution of core academic and administrative processes.
In the absence of the Deputy Registrar, the Associate Registrar may assume responsibility for executive‑level coordination, office oversight, budget administration, project management, committee participation, and the full range of student records management functions. The individual in this role supports operational continuity, promotes regulatory compliance, and contributes to strategic initiatives that enhance the student experience and uphold institutional standards.
Essential Functions
- Assist the University Registrar and the Deputy Registrar in strategic planning, goal setting, and policy development for the Office of the University Registrar.
- Lead the implementation of office-wide initiatives and ensure alignment with institutional priorities.
- Manage daily operations related to student registration, academic records, grading, transcript processing, graduation, credit evaluation, credit for prior learning, student information system security, reporting, etc.
- Oversee the integrity, accuracy, privacy, and security of student academic records.
- Ensure compliance with all applicable federal, state, and institutional regulations, including FERPA and accreditation standards.
- Collaborate on the design, implementation, and management of advanced student information systems and other registrar-related technologies.
- Evaluate and recommend technology upgrades or process improvements to enhance operational efficiency and student support.
- Develop, implement, and interpret academic policies, procedures, and regulations in collaboration with academic leadership.
- Monitor compliance with institutional, state, and federal policies, including those governing student records and reporting requirements.
- Serve as a key representative of the Office of the Registrar on university committees and task forces.
- Work collaboratively with academic departments, advising offices, and other stakeholders to support student success and institutional initiatives.
- Foster a culture of collaboration, innovation, and excellence within the team.
- Oversee the preparation and analysis of reports related to enrollment, graduation, and other academic data.
- Provide insights and data to support institutional decision-making and accreditation processes.
- Serve as a resource to students, faculty, staff, alumni, and external stakeholders on complex registration, records, and policy issues.
- Resolve escalated concerns and facilitate solutions to ensure high-quality service delivery.
- Assist in discussions of budget and staffing needs for the unit.
- Provide direct and/or indirect supervision to exempt and non-exempt staff (i.e., hiring/firing, performance evaluations, disciplinary action, approve time off, etc.).

- Bachelor's Degree
- Ten (10) years of relevant education, experience and/or other specialized training can fulfill minimum education and experience requirements
- Six (6) years of relevant experience, i ncluding one (1) year of previous supervisory experience in higher education
- Familiarity with student information systems and records management
- Master's Degree preferred.
- Registrar or Higher Ed experience.
- Demonstrated expertise in information systems and records management.
