Job OverviewUsing established procedures with detailed instructions, engage in the day-to-day administration of specialized activities related to grant administration and reports to management, provide recommendations and advice to management or other groups on process‑related topics, and conduct or carry out work procedures and activities in accordance with local, state, and federal regulations as well as university policies.
Essential Functions- Assist faculty, research staff, and/or students with the processing of financial transactions for federal, state, and private grants, contracts, and other external funding sources.
- Conduct post‑award duties including award set‑up and management for financial and regulatory compliance; meet regularly with Principal Investigators (PIs) for expense reporting and projects, and process reports and transactions, including subcontract activity, for the full life cycle of sponsored program administration; assist with pre‑award proposal preparation.
- Implement policies that reflect continuous oversight and review of sponsored project funds to ensure all financial transactions comply with university policies and funding agency guidelines.
- Advise faculty and research staff on the financial management of sponsored projects to fulfill project‑related expenditure goals and objectives, including subaward issuance.
- Work directly and collaboratively with various offices of the university to fulfill all expenditure/compliance requirements and resolve complex issues that arise during a sponsored award.
- Assist with proposal creation, preparation, and submission processes to external agencies.
- Disseminate expertise to train entry‑level staff in the department unit to adhere to compliance standards and share knowledge of UC-based financial systems and applications.
- Engage in duties spanning several sub‑specialties, handling proposal submission and award administration or more broadly supporting the growth of the research enterprise at UC.
- Complete routine work for grant applications; follow standard principles and systems and use appropriate terminology associated with a particular field of specialization while continuously building on current job knowledge.
- Provide recommended approaches to assigned work to facilitate desired results and maintain effective relationships with peers, vendors, and others in different environments.
- Interpret information, ideas, and instructions and communicate clearly and accurately both verbally and in writing, including materials for distribution.
- Determine causes of unusual occurrences and apply standard principles and practices to implement solutions.

- Bachelor’s Degree
- Six (6) years of relevant work experience and/or other specialized training can be used in lieu of the education requirement.
