EVENTS & SPACES COORDINATOR - DOWNTOWN MAIN LIBRARY

POSITION SUMMARYThe Events & Spaces Coordinator coordinates and facilitates internal and external system-wide meeting rooms and events. This includes scheduling and booking meeting rooms and event spaces; coordinating logistics with event partners and vendors; on-site organization, setup and teardown at the event space; and seeking feedback around attendees’ experience.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES- Prepares special event cost estimates and assists with preparing an annual budget for system-level special events.
- Manages fiscal processes and systems, such as W-9, POs, check requests, and credit card management.
- Coordinates logistics for the Library’s regular meetings, board meetings, and system-level large or special events, including speakers, system achievements, and participation in community events such as parades and festivals, etc. This includes reserving spaces and communicating with other departments, such as Public Safety, Facilities, and Hospitality.
- Manages and executes post-event processes to ensure smooth closure and customer satisfaction. This includes reviewing and processing event-related invoices, gathering attendee feedback through surveys, and sending personalized thank-you messages to participants, speakers, and stakeholders.
- Uses customer feedback, surveys, and evaluation tools to enhance event success, impact, and identify future opportunities.
- Tracks deadlines and deliverables, prepares summary statistics and reports to support planning and decision-making, and recommends new events or the retirement of events that may no longer align with goals or provide sufficient ROI.
- Collaborates with the Programs & Events Manager to develop and maintain an annual calendar of special events aligned with the Library’s goals and priorities.
- Assists locations with event planning and coordinating major events.
- Reviews venues, including internal meeting rooms, to determine proper accessibility, signage, audio-visual equipment, room set-up, staffing, crowd control/traffic flow, etc.
- Serves as the point of contact for procuring staff and/or volunteers for all system-level special events, prepares and disseminates assignment rosters for events, and directs staff and volunteers at events.
- Maintains and troubleshoots audio-visual equipment and runs audio-visual during events.
- Assists in coordination of Main Library exhibits and tours.
- Supports and advances the Library’s mission of connecting people with the world of ideas and information.
- Embraces and embodies the Library’s core beliefs, strategic priorities, and pillars of excellence.

- Education:
High school diploma or equivalent is required. - Bachelor's degree in Public Relations, Communications, Hospitality Management, or relevant discipline is preferred.
- Certifications or licensure: A driver's license and a driving record acceptable to the Library's insurance provider are required.
- Years of relevant experience:

40 hours per week, including evenings and weekends.
SALARY$49,940.80 - $62,441.60
